Full job description

Purpose of role:

To provide fleet administration support to Account Managers in a smooth, orderly, and timely manner.

Key Responsibilities:

Proactive day to day assistance to Account Managers
Liaising with dealers, suppliers, and clients utilising online platforms, telephone and email
Arrange and manage service, maintenance, repair and hire vehicle bookings for drivers as required
Communicating professionally with drivers, contacts, suppliers and colleagues at all times
Continually focusing on delivering excellent customer service, ownership of work, managing priorities and meeting deadlines set by Account Managers
Maintaining databases, ensuring they are kept up to date and accurate when dealing with any enquiry and cleanse the information as required
Liaise with other colleagues in regards to issues arising on a daily basis and interface with other departments as required
Type and prepare documents, reports, and correspondence
Answer phone calls and direct them to the appropriate personnel with professionalism and excellent phone etiquette
Provide general administrative support such as filing, photocopying, and organising documents
Assist with office organisation and maintenance
Attend training and development as required
To be conversant and comply with all Health, Safety, and Environmental requirements published by the company
To operate in a safe and responsible manner at all times

Experience:

Previous experience in an administrative role is preferred
Strong organisational skills with the ability to prioritise tasks effectively
Proficient in computer skills, including Microsoft Office Suite (Outlook,Word, Excel)
Excellent verbal and written communication skills
Attention to detail and accuracy in data entry and document preparation
Ability to handle confidential information with discretion
Ability to work on own initiative and work unsupervised
Customer/Supplier relationship experience
Excellent time management skills
