Full job description

NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The role:

This is an exciting opportunity to join NHS Greater Glasgow and Clyde as a Team Secretary within the East Dunbartonshire Alcohol and Drug Service, providing vital support to a multi-disciplinary team. You will play a key role in ensuring the smooth and efficient running of administrative and clinical processes that directly impact patient care. Working within NHSGGC, you will be part of a supportive and forward-thinking organisation committed to delivering high quality, person-centred services to our communities. This role offers variety, responsibility and the chance to build strong working relationships across a wide range of professionals. You will be central to communication, coordination and organisation within a busy and rewarding service. All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

This role is part-time and on a fixed-term contract
You will be working within Kirkintilloch Health & Care Centre
Monday to Friday 13:00 - 17:00

Please note the salary is Pro Rata for part-time hours.

Key responsibilities:

Provide a high-quality secretarial and administrative service to the multi-disciplinary and multi-agency team
Act as a first point of contact managing telephone and face to face enquiries from staff, patients and external partners
Organise and support clinics including maintaining appointment systems and team diaries
Prepare documents, correspondence and minutes using audio typing and administrative systems
Maintain accurate filing systems and patient records in line with data protection and confidentiality standards
Manage office systems including room bookings, stationery supplies and basic financial processes
Support reception duties and ensure a professional, efficient and welcoming service environment

Knowledge, training, qualifications and/or experience required to do the job:

Standard Grade English or equivalent experience with strong written and verbal communication skills
Proven administrative experience preferably within a mental health or healthcare setting
Proficiency in Microsoft Office including Outlook with strong IT and keyboard skills
Experience of audio typing with a high level of accuracy and attention to detail
Excellent organisational skills with ability to prioritise workload and meet deadlines
Strong interpersonal skills with ability to work effectively within a team and across services
Ability to work on own initiative with flexibility and a proactive approach to supporting service needs
