Full job description

About the role

The HR Administrator will provide comprehensive, efficient, and timely administration support to the HR Advisor. The role will encompass all aspects of HR administration, including administrative management of staff information, recruitment administration, compliance checks and reporting.

Reporting and working closely with the Home Manager, departmental managers and external HR partner. You will be responsible for maintaining accurate and confidential records, coordinating key employment processes and helping ensure that important administrative tasks are completed promptly and consistently.

Previous experience of HR administration is essential, including practical involvement in recruitment, onboarding, employee records and routine employment processes.

Experience of payroll or workforce compliance, particularly within care, healthcare or another regulated environment, would be advantageous.

Provide a comprehensive administration service for both paid staff and volunteers. Ensure that all HR administrative processes are managed in a timely and efficient manner, and with regard to the requirements of current legislation and ‘good practice’, and that strict confidentiality of records and information is maintained.

This is a varied, hands-on administrative role supporting our HR, recruitment, workforce compliance, alongside the wider administration of the Home.

The HR Administrator will provide comprehensive, efficient, and timely administration. The role will encompass all aspects of HR administration, including administrative management of staff information, recruitment administration, compliance checks and reporting.

Key Responsibilities

· HR administration, set up and maintain accurate, confidential employee records and HR trackers.

· Coordinating recruitment activities, including advertising vacancies, track applicants arranging interviews and communicating with candidates. and issue offer letters.

· Screening and vetting carry out right-to-work checks and process enhanced DBS check applications, and right-to-work documents

· Obtain and verify references, employment history and qualifications.

· Prepare offer letters and contracts and coordinate inductions for new starters.

· Track and flag anything that needs action, for example, expiring DBS certificates or right-to-work documents.

· Provide payroll with accurate starter, leaver and change information.

· Keep complete, accurate safer-recruitment records that meet Employment law and CQC standards.

· Coordinating probationary reviews and maintaining the associated documentation.

· Handle HR correspondence and answer day-to-day queries from staff. Act as the first point of contact for routine employee queries regarding policies, benefits, or rotas

· Preparing HR correspondence and arranging and minuting employee meetings where required.

· Handle all personal data securely and in line with data protection law.

· Compliance support, monitoring routine workforce compliance requirements and renewal dates.

· Support audits and inspections by keeping records inspection-ready.

· Provide general administrative support to the HR and management team as needed.

Supporting absence-management processes and maintaining accurate sickness and annual-leave records.
Supporting policy administration, information governance and other administrative projects.

· Supporting internal and external inquiries and requests related to the HR department

· Coordinating occupational health referrals and communication with external HR advisers.

· Ensuing Occupational Health clearance is achieved, and that the line manager is informed of any required adjustments.

· Ordering of badges, uniform

Essential

· Good English communication, both written and verbal.

· Good level of education in English and Maths

· Strong administrative and organisational skills, with excellent attention to detail.

· Knowledge of office management systems, Email, Microsoft Office, and HR or recruitment systems.

· Able to handle sensitive information with discretion and complete confidentiality.

· Reliable, self-motivated and comfortable managing a varied workload.

· Evidence of continuous professional development

· Experience of setting up and maintaining effective administrative filling systems

· Experience of working with Microsoft packages including, word, excel and power point

· Experience of work involving regular and accurate data inputting

· Able to interpret complex information to provide solutions

Desirable experience:

· Administrative background, ideally within health, social care, or a regulated environment.

· Experience of working in a HR/workforce Administrative role and understanding of HR processes.

· Minimum 1–2 years in a busy administrative role.

· Understanding of safer recruitment, right-to-work and DBS processes.

· Experience handling highly confidential data.

· Familiarity with CQC requirements.

· Knowledge: Basic understanding of employment law, data protection (GDPR), and safer recruitment guidelines.

· Knowledge of HR and recruitment processes and principles.

· Knowledge and understanding of employment legislation.

· Previous administration experience within Health and social care environment.
