Full job description

Job Summary

We are seeking a motivated and detail oriented Accounts Support and Bookkeeping professional to join our team in a part time role, 3 days per week. In this role, you will play a vital part in maintaining accurate financial records, supporting daily accounting operations, and ensuring the smooth flow of financial information. Your proactive approach and strong organisational skills will help uphold the integrity of our financial data, enabling informed decision making and efficient business processes.

Key Responsibilities:

Financial & Administrative Support

Manage day-to-day financial administration including tracking expenses and processing invoices.
Maintain and update the offices expenditure structure.
Handle accounts payable, ensuring timely payments and accurate record keeping.
Assist with monthly and quarterly reporting to practice partners.
Prepare and issue company invoices

Expense Management

Coordinate and monitor staff and partner expenses.
Ensure expense claims are submitted with appropriate receipts and aligned with internal policies.
Prepare expense reports for review by senior management.

Accounts & Bookkeeping

Support the partners in maintaining and reviewing budgets.
Help manage cash flow by tracking outgoing payments.
Liaise with internal and external accountants when necessary.
Assist in preparation and auditing of annual accounts.

General Administration

Maintain financial files and records in an organised digital format.
Provide administrative assistance to practice partners as required.
Contribute to streamlining financial systems and administrative procedures.

Key Skills and Requirements

Proven experience in an administrative or finance-related role.
Strong numeracy skills and attention to detail.
Familiarity with bookkeeping principles and accounts payable/receivable.
Proficiency in Microsoft Office Suite (particularly Excel) and Sage.
An understanding of VAT and financial reporting.
Accountancy qualifications desirable.

To work within the practice’s Quality Assurance, Environmental management and Security management systems.

To demonstrate a high level of self-motivation in identifying tasks and in the delivery of them including the management of them.

To demonstrate good attention to detail and generate high standards of presentation in all tasks.

You will provide regular updates to the Partners, any issues that may give rise to a failure to meet a defined deadline or output should be brought to the Partners attention immediately upon discovery.

Support and training as appropriate, will be given to you to assist in the development of your professional skills

To handle confidential information with discretion.

To be well-organised with the ability to multitask and prioritise workload.

Ask obvious questions to ensure that you have understood.

When starting an activity assume or accept nothing, ensure that it is ‘right’ from the information you have been provided and your experience. If it is not correct question this with the Partner then correct it if they concur.

Do not change anything without a taking a copy of the original to allow the changes to be reverse or preferably checking with the originator of the information.

Ability and willingness to learn and understand construction industry guidelines and practice.

The ability to work under pressure to meet deadlines.

Demonstrate integrity, tact and professionalism when dealing with clients, colleagues and consultants.

A ‘can-do’ and positive motivated attitude, able to support the team in a fast-paced, creative environment

Pay: £18,000.00-£21,000.00 per year
