Full job description

Salary for this role is between £28,000 and £30,000 depending on experience.

Job Overview

The Commercial and Residential Property Co-ordinator oversees the day-to-day management, administration, and compliance of residential and commercial properties. The role ensures properties are well-maintained, statutory requirements are met, and tenants, landlords, contractors, and suppliers receive an efficient service.

It also supports business development, financial administration, and the maintenance team, while providing operational support to the wider business. The role requires strong organisation, attention to detail, clear communication, and the ability to manage competing priorities. This paid position offers an exciting opportunity to grow within a property management environment dedicated to excellence.

Responsibilities

Manage day-to-day residential and commercial property administration and compliance, including associated paperwork
Ensure properties meet statutory and regulatory requirements with full compliance across all properties
Identify property maintenance issues, prepare quotes, obtain landlord approval, and book all maintenance jobs.
Liaise with existing and potential tenants, landlords, contractors, and suppliers regarding maintenance, property and tenancy agreement matters
Arrange and attend property viewings, inspections and meetings where required.
Coordinate tenancy documentation, renewals, referencing and due diligence checks, and move-in/move-out processes
Lead and support the maintenance team, including time management, task allocation, annual appraisals, timesheet review, and staff holiday planning.
Advertise available properties on Zoopla, the company website, and social media.
Identify and pursue new business opportunities, and where appropriate, agree service contracts with new landlords, perform referencing and checks, review and ensure building compliance, and perform ongoing management of the property and tenancy
Support preparation of proposals, presentations, and service agreements
Maintain accurate property records, tenancy files, compliance documentation, rent schedules, reporting, and general property correspondence
Raising and inputting of invoices and data on Xero and property management software, Released
Provide general office administration and organisational support including maintaining filing systems and office records, and answering calls and emails professionally and efficiently
Any other duties as required

Requirements - Essential

Previous experience in an office based environment, preferably property related
Strong organisational and multi-tasking abilities
Confident, clear communication skills
Ability to work independently and manage competing priorities
A can-do attitude; we're problem solvers at our core!

Requirements - Highly Desirable

Good understanding of compliance and building safety requirements
Leadership experience - this role requires workload management for a small maintenance team, therefore demonstrable leadership skills would be beneficial

Pay: £28,000.00-£30,000.00 per year
