Full job description

Position: Business Services Officer Grade 8 (Admin and Clerical)
Location: Matlock, DE4 3AG
Start Date: ASAP
Contract Duration: 12+ Months
Working Hours: 37 hours per week
Pay Rate: PAYE: £15.40 per hour

Job Responsibilities

Provide high-quality administrative and business support services to ensure the effective operation of the team and wider service area.
Manage a range of administrative processes, ensuring work is completed accurately, efficiently, and in line with organisational policies and procedures.
Maintain accurate records, databases, systems, and documentation while ensuring compliance with information governance and confidentiality requirements.
Apply relevant procedures, standards, and regulations to ensure service outputs meet required quality and performance expectations.
Prepare reports, correspondence, meeting documentation, and other business-related materials as required.
Support the monitoring of service performance, identifying issues and contributing to continuous improvement activities.
Provide guidance and support to colleagues on administrative processes, systems, and procedures.
Investigate and resolve routine and complex administrative queries using initiative, judgement, and problem-solving skills.
Liaise effectively with internal departments, external partners, and service users to provide a professional and responsive service.
Organise and coordinate meetings, appointments, and service activities, ensuring effective communication and follow-up actions.
Support financial, procurement, staffing, or operational processes where required.
Ensure all work is completed within agreed timescales while maintaining accuracy and attention to detail.
Provide supervision, guidance, and support to administrative colleagues where required.
Assist with the implementation of service improvements, process reviews, and changes to working practices.
Maintain a strong customer focus and contribute to delivering positive outcomes for service users and stakeholders.

Person Specification

Essential Requirements

Significant experience working within an administrative, business support, or clerical environment.
Comprehensive knowledge and experience of administrative procedures, systems, and processes.
Clear understanding of standards, regulations, and quality requirements relevant to the role.
Strong organisational skills with the ability to prioritise workload and manage competing deadlines.
Excellent written and verbal communication skills.
Ability to research, investigate, and resolve problems independently using initiative and sound judgement.
Experience maintaining accurate records and handling confidential information appropriately.
Strong IT skills, including experience using Microsoft Office applications and business systems.
Ability to work effectively both independently and as part of a team.
Experience providing guidance, support, or supervision to colleagues.
Ability to build effective working relationships with internal and external stakeholders.
Strong attention to detail and commitment to delivering accurate, high-quality work.

Desirable Requirements

Experience working within a local authority or public sector environment.
Experience supervising administrative staff or supporting team performance.
Knowledge of information governance, data protection, and confidentiality requirements.
Experience supporting service improvement initiatives and process changes.
Experience preparing reports, analysing information, and supporting operational decision-making.
