Full job description

Working hours:

- 38.5 hrs per week

- Monday – Thursday 08:30 – 16:45, Friday 08:30 – 16:30 (30 mins unpaid break)

Salary:

- £29,029 per annum (£14.50 per hour)

About the Role:

As an Operations Administrator, you'll provide essential administrative support across our site and operations functions, working with the Warehouse Manager, Warehouse Supervisor, Warehouse Administrator and the wider business.

This role is ideal for someone with strong organisational skills, excellent attention to detail, and a commitment to delivering high standards of customer service while supporting Espack's operational efficiency goals.

Whilst primarily office based, there will be a need to go into the warehouse where PPE is required.

What We're Looking For:

We're looking for someone who is proactive, detail-oriented, and thrives in a fast-paced operational environment.

You'll ideally have:

- Strong administrative and organisational skills.

- Excellent attention to detail and accuracy.

- Good IT skills and computer literacy with proficiency in Microsoft Excel, Outlook, Teams, One Drive.

- Experience working with Warehouse Management Systems.

- Strong written and verbal communication skills.

- Ability to prioritise tasks and manage multiple activities simultaneously.

- A proactive and flexible approach to work.

- Ability to work independently and as part of a team.

- Strong customer service focus and professional communication style.

- Ability to meet deadlines and work effectively in a fast-paced environment.

- A commitment to continuous improvement and operational excellence.

Duties to include, but not limited to:

- Provide administration support across Warehouse, Finance, Purchasing & Logistics functions.

- Maintain accurate records and ensure all operational information is up to date.

- Communicate professionally with internal teams, customers and suppliers.

- Communicate with suppliers to gather quotes achieving savings where possible.

- Collate and review supplier invoices monthly to submit to accounts.

- Respond to accounting team over any queries.

- Create customer invoices monthly – standard fee, overtime, quality inspections.

- Fill in and review overtime and quality inspection trackers.

- Fill in and submit agency time sheets weekly.

- Support service and repair activities including contractor communications, and site visits.

- Ensure compliance with health and safety procedures, company policies, data protection requirements, and information security standards.

- Learn warehouse management systems and oversee the Warehouse Administrator to ensure they are on track with their duties.

- Resolve stock issues, investigations, stock control, running changes etc when needed.

- Liaise with internal IT department to resolve system / hardware issues.

- Logging of internal KPI’s and assisting with the upkeep of our KPI board.

- Booking external training.

- General filing and admin, as well as handling confidential HR information and taking of minutes.

- Compiling weekly staff plan.

- Keep stock cupboard and supplies for site replenished.

- 5S in operations office.

- Coordinate tasks to ensure management can keep to schedule.

- Contribute to sustainability initiatives and support the company's environmental objectives.

- Support continuous improvement activities and undertake additional duties as required.
