About Us

Our Special Angels is a specialist childcare provider supporting children and young people with Special Educational Needs and Disabilities (SEND). We provide holiday clubs, weekend sessions and short breaks in a safe, fun and nurturing environment.

As our organisation continues to grow, we are looking for a friendly, organised and reliable Office Administrator to support the day-to-day running of our busy office.

This role is ideal for someone looking for school-friendly working hours and wanting to be part of an organisation that makes a real difference to children and families.

About the Role

Working closely with the Director, you will help ensure the office runs smoothly and that our families receive a high standard of customer service.

No two days are the same, and the successful applicant will enjoy a varied role with plenty of opportunity to grow within the organisation.

Main Duties

Respond to parent enquiries by telephone, email and WhatsApp.
Manage bookings and update our online systems.
Prepare invoices and receipts.
Monitor payments and politely follow up outstanding balances.
Prepare registers and daily paperwork for sessions.
Maintain children's records and confidential files.
Organise and maintain electronic filing systems.
Answer the office telephone and take messages.
Arrange meetings and appointments.
Assist with staff recruitment, interviews and onboarding.
Request references and keep recruitment records up to date.
Order office supplies and equipment.
Support with general administration and day-to-day office tasks.
Communicate professionally with parents, schools, local authorities and partner organisations.

About You

We are looking for someone who is:

Friendly and approachable.
Highly organised with excellent attention to detail.
Confident using Microsoft Office, email and online systems.
Able to work independently and use their own initiative.
Professional, reliable and trustworthy.
Comfortable managing several tasks at the same time.
An excellent communicator with good written and verbal English.

Desirable Experience

Experience in any of the following would be an advantage:

Office administration
School administration
NHS administration
Charity administration
Reception or customer service
Business support or administration

SEND experience is welcomed but not essential, as full training will be provided.
