Full job description

Join a Growing Coach & Transport Company

We are a long established coach company based in Clutton, near Bristol, operating a fleet of Euro 6 coaches.

We are looking for an organised, proactive and reliable Operations & Office Manager to become a key member of our management team. This is a varied role combining transport operations, staff scheduling, customer service and office management.

The successful candidate will play a central role in the day-to-day running of the business and will work closely with the Managing Director and office team to ensure all services operate smoothly and efficiently.

Main Responsibilities

Operations & Scheduling

Prepare and manage driver schedules and daily work allocations.
Allocate vehicles to contracts, private hires and school services.
Manage driver holidays, absences and cover arrangements.
Communicate daily duties and changes to drivers.
Deal with operational issues and last-minute changes.

Transport Administration & Compliance

Maintain driver records and documentation.
Monitor licence checks, CPC records and compliance requirements.
Assist with vehicle maintenance scheduling and workshop administration.
Maintain accurate operational records and reports.

Customer Service & Sales Support

Handle customer enquiries by telephone and email.
Prepare quotations for coach hire and transport services.
Process bookings and maintain customer records.
Build strong relationships with schools, businesses and private customers.

Office Management

Support invoicing and general administration.
Assist with day trip administration and customer bookings.
Ensure smooth day-to-day running of the office.
Identify opportunities to improve systems and procedures.

About You

We are looking for someone who is:

Highly organised and able to prioritise workloads.
Confident using Microsoft Office and computer systems.
A strong communicator who can deal with customers and staff professionally.
Calm under pressure and able to solve problems quickly.
Self-motivated and willing to take ownership of their role.
Experienced in office management or operations management.

Experience within the coach or bus industry is not essential.
