Full job description

Witham Specialist Vehicles Ltd is an established and successful company specialising in the sales and marketing of military vehicles and equipment. We work with customers throughout the UK and around the world and pride ourselves on providing a professional, efficient and friendly service.

Due to continued growth, we are looking for a friendly, organised and enthusiastic Receptionist / Office Administrator to join our busy team.

The Role

This is a varied role as the first point of contact for our customers, you will play a key role in creating a positive and professional impression of our business, whether dealing with customers over the telephone, by email or in person.

Alongside your reception responsibilities, you will provide administrative and PA support to the Managing Director and Sales Manager, helping to ensure the office runs smoothly and efficiently. We are looking for someone who enjoys being organised, can manage a varied workload and is happy to get involved wherever needed.

Key Responsibilities

Answering incoming telephone calls professionally, taking messages and directing enquiries to the appropriate member of the team.
Greeting customers, visitors and suppliers in a friendly and professional manner.
Responding to customer emails and general enquiries.
Providing administrative and PA support to the Managing Director and Sales Manager.
Preparing, printing and organising company and customer documentation.
Processing invoices, orders and other office paperwork.
Booking appointments and maintaining diaries.
Liaising with customers and suppliers.
Taking customer payments and assisting with payment chasing.
Arranging DHL and courier collections.
Posting vehicle documentation to customers.
Ordering office stationery and office supplies.
Maintaining accurate records and filing systems.
Assisting with general office administration and other ad hoc duties as required.

The ideal candidate will have:

Excellent communication and interpersonal skills.
A confident, professional and friendly telephone manner.
Excellent written English with the ability to produce professional emails and correspondence.
Exceptional organisational skills with a methodical approach and excellent attention to detail.
The ability to prioritise a varied workload and work efficiently under pressure.
A positive, enthusiastic and proactive attitude.
The ability to use initiative and work independently when required.
Strong IT skills with a good working knowledge of Microsoft Outlook, Word and Excel.
Previous experience in a reception or administration.
A smart and professional appearance.

Essential Requirement

Due to our rural location, there is no public transport available to our office. Applicants must hold a full UK driving licence and have access to their own vehicle to travel to and from work reliably.
