About the Role

Trivia EM Travel Services UK Ltd provides personalised travel planning, booking coordination, customer support, supplier liaison and tourism-service administration for individual and business travellers.

We are looking for an organised, dependable and customer-focused Travel Operations Coordinator to support the smooth delivery of our travel services and day-to-day operational activities.

The successful candidate will coordinate bookings, maintain travel records, communicate with customers and suppliers, monitor itineraries and help resolve routine service issues. You will work closely with travel consultants, accommodation providers, transport companies and internal teams to ensure that every booking is accurate, well organised and delivered according to agreed requirements.

This mid-level position is suitable for candidates with experience in travel operations, tourism administration, reservations, customer service, supplier coordination or office operations.

Key Responsibilities

Booking Coordination: Process and monitor approved travel bookings, reservations, amendments and cancellations.
Itinerary Management: Prepare, review and update customer itineraries, travel schedules and supporting documentation.
Customer Communication: Respond professionally to routine enquiries and provide clear information about bookings, schedules and travel requirements.
Supplier Liaison: Communicate with hotels, transport providers, tour operators and other approved travel suppliers.
Reservation Records: Maintain accurate records of bookings, payments, confirmations, customer preferences and supplier details.
Travel Documentation: Prepare booking confirmations, vouchers, schedules, travel packs and operational correspondence.
Schedule Monitoring: Track departure times, check-in details, transfers, accommodation arrangements and scheduled activities.
Issue Resolution: Investigate routine booking problems and coordinate practical resolutions with customers and suppliers.
Payment Administration: Support the recording of authorised payments, deposits, refunds and supplier charges.
Customer Support: Provide assistance before, during and after travel, escalating urgent or complex matters when required.
Supplier Confirmations: Verify availability, rates, booking terms and service details before final confirmation.
Data Management: Update customer, booking and supplier information in approved travel-management systems.
Service Quality: Monitor customer feedback and report recurring service issues or supplier concerns.
Operational Reporting: Prepare routine reports on bookings, outstanding actions, cancellations and service performance.
Compliance Support: Follow company procedures relating to data protection, booking terms and responsible customer communication.
Process Improvement: Recommend practical improvements to booking, communication and travel-administration workflows.

What We Are Looking For

At least 2 years of experience in travel operations, reservations, tourism administration or a related position.
Strong organisation, planning and time-management skills.
Experience managing bookings, schedules and customer records.
Excellent written and spoken English.
Professional and confident customer communication skills.
Strong attention to detail and accurate data-entry abilities.
Ability to coordinate several bookings and priorities at the same time.
Experience communicating with suppliers and external service providers.
Good practical problem-solving and follow-up skills.
Confidence using Microsoft Word, Excel, Outlook and shared digital systems.
Ability to remain calm and professional when travel arrangements change.
Understanding of confidentiality and responsible customer-information handling.
Dependable, collaborative and service-focused approach to work.

Preferred Qualifications

Qualification in Travel and Tourism, Hospitality, Business Administration or a related subject.
Experience working for a travel agency, tour operator, hotel group or reservation service.
Familiarity with travel-booking or reservation-management systems.
Knowledge of accommodation, transport and tourism-supplier processes.
Experience preparing detailed itineraries and customer travel documents.
Familiarity with travel-insurance, visa and destination-information procedures.
Experience handling amendments, cancellations and customer complaints.
Knowledge of UK data-protection and responsible payment-handling requirements.
Experience supporting corporate, group or international travel arrangements.
Additional language skills are advantageous but not required.

Pay: £30,000.00-£35,000.00 per year
