Summary of Position:

Make an impact where it matters most, with our clients. As part of The Nu-Life Group’s Operations & Client Experience team, you’ll be the engine that keeps service delivery running smoothly. You’ll orchestrate technician schedules, keep clients informed, solve problems before they escalate, and ensure every job is delivered to our 5-star standard. This role is ideal for candidates who thrive in fast-paced environments and are committed to delivering high-quality administrative support. The position offers valuable experience in operations management within a professional setting.

Primary Responsibilities

Scheduling & Co-Ordination

· Own the schedule: book, organise, and adapt daily and future workloads on the CRM system and our internal tools.

· Be the hub: act as the primary point of contact for clients—updates, queries, and quick resolutions via phone and email.

· Keep everyone in sync: brief technicians, coordinate site requirements, and communicate changes clearly

· Plan ahead: build schedules around maintenance contracts and client commitments.

· Balance the team: manage technician annual leave and resource coverage.

· Support growth: prepare quotes, assist with pricing reviews, and help renew contracts on time and accurately.

Invoicing & Reporting

· Close the loop: collect job reports and ensure before/during/after photos and technician comments are complete.

· Ensure we’re finance-ready: confirm POs are in place so that we can raise invoices promptly

· Fix the gaps: follow up with clients and technicians to gather any missing details for reports or invoicing.

· Resolve queries: handle invoice questions quickly and professionally to keep cashflow smooth.

Delivering the Client Experience

· Excellence: Be committed to keeping operations flowing and clients delighted to ensure we deliver exceptional service every time we interact with Technicians and Clients

· Time management mastery: provide superb organisation and time management, thriving in a fast-moving, deadline driven environment

· Talk like a pro: Provide clear, confident proactive communication on the phone, in emails, and with on-site teams.

· Detail obsession: Ensure we have and share accurate documentation, tidy schedules, and reliable reporting

· Problem-solving mindset: anticipate issues and juggle priorities without breaking a sweat.

· Collaborate: Operate with a Team-first attitude, working collaboratively, remaining calm under pressure, and maintaining client-focus at all times

Key Skills, Qualifications & Competencies

· Experienced in scheduling and workload coordination

· Passionate about effective communication and stakeholder management

· Resource planning and rota / leave management

· Quote preparation and basic pricing updates

· Reporting admin experience

· Issue triage and escalation handling

· Exceptional organisation and time management

· Meticulous attention to detail and accuracy

· Proactive and solutions focussed mindset

· Able to juggle multiple priorities

· Collaborative approach

· Commercial & business awareness

· Customer centric attitude with a service excellence mindset

· Highly accountable & decisive, taking ownership to ensure positive outcomes

· Discreet and professional when handling client matters and team issues

· Microsoft 365 (Outlook, Excel, Teams)

· Understanding of maintenance contracts and working with SLA’s

· Knowledge of Health & Safety Considerations

Hours of Work

8am - 16:30 Monday to Friday (40 Hours per Week)

Job Types: Full-time, Permanent

Pay: From £28,080.00 per year
