Full job description

The Role

The role is responsible for parts procurement, stock control, goods receipting, supplier liaison, warranty administration, and maintaining accurate records within the Workshop Management System (WMS).

Key Responsibilities

Parts Management & Purchasing

Source and order vehicle parts, consumables, and workshop materials.
Obtain quotations and manage supplier relationships.
Raise and process purchase orders through the Workshop Management System.
Monitor stock levels and maintain appropriate stock holdings.
Ensure parts availability for planned workshop activities.
Manage urgent breakdown and off-road vehicle parts requirements.
Maintain accurate parts master data, pricing, and supplier records.

Stock Control & Goods Receipting

Receive goods and accurately process goods receipting within the Workshop Management System.
Maintain accurate inventory and stock records.
Allocate parts correctly to workshop job cards.
Process stock adjustments, returns, and supplier credits.
Carry out regular cycle counts and support annual stocktakes.
Investigate stock discrepancies and implement corrective actions.
Monitor stock movements, stock variances, and outstanding purchase orders.

Warranty Administration

Create, process, and maintain warranty claim records within the Workshop Management System.
Ensure all warranty claim information is accurately recorded and submitted.
Monitor outstanding warranty claims and investigate delayed payments.
Maintain accurate warranty work-in-progress (WIP) records.
Liaise with manufacturers and suppliers regarding warranty claims where required.

Workshop Support

Work closely with technicians and workshop management to identify upcoming parts requirements.
Ensure parts are issued accurately and efficiently to support workshop productivity.
Assist with customer enquiries relating to parts availability.
Support the efficient administration of workshop job cards and related documentation.

Systems & Reporting

Use the Workshop Management System daily for:
Parts management
Stock control
Purchasing
Goods receipting
Job card administration
Warranty administration
Reporting and analysis
Produce stock, purchasing, and warranty reports as required.
Maintain accurate electronic records and audit trails.
Support system improvements and business process development.

Knowledge, Skills & Experience

Essential

Previous experience within a commercial vehicle, automotive, engineering, agricultural, or vehicle parts environment.
Experience managing stock control and purchasing activities.
Strong administrative, organisational, and attention-to-detail skills.
Experience using computerised stock control systems.
Good computer literacy and data accuracy skills.
Effective communication and relationship management skills.
Ability to prioritise workload and work accurately in a fast-paced environment.

Desirable

Experience within an HGV dealership or commercial vehicle workshop.
Warranty administration experience - but can offer full training
Experience using a Workshop Management System (WMS), Dealer Management System (DMS), or equivalent workshop software.
Knowledge of workshop invoicing and job card processes.
Knowledge of commercial vehicle parts operations.
Knowledge of Iveco parts and warranty procedures.

Key Performance Measures

Stock accuracy and inventory control.
Parts availability and workshop uptime.
Timely and accurate processing of purchase orders and goods receipting.
Warranty claim submission and recovery performance.
Accuracy of Workshop Management System records.
Compliance with internal processes and audit requirements.
