Job Summary

We are seeking a highly organised and proactive Admin Assistant to join our team. This role involves providing essential administrative support to ensure the smooth operation of daily business activities. The successful candidate will be responsible for managing correspondence, maintaining records, and assisting with various clerical tasks in a professional and efficient manner. Prior office experience and strong computer skills are essential for this position, which offers an excellent opportunity to develop your administrative expertise within a supportive environment.

Duties

Manage incoming and outgoing correspondence, including emails and phone calls, demonstrating excellent phone etiquette
Organise and maintain physical and digital files, ensuring easy retrieval of information
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks where applicable
Prepare reports, presentations, and other documents as required using relevant software tools
Assist with scheduling appointments, meetings, and calendar management for team members
Support invoicing and bookkeeping activities through data entry and record keeping
Handle general administrative duties such as photocopying, scanning, and ordering office supplies
Provide exceptional customer service by responding promptly to enquiries from clients or visitors

Requirements

Proven office experience with a strong understanding of administrative procedures
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Excellent organisational skills with the ability to prioritise tasks effectively
Strong typing skills with attention to detail for accurate data entry
Good communication skills, both written and verbal, along with professional phone etiquette
Demonstrated ability to work independently as well as part of a team in a fast-paced environment
Previous clerical experience or background in administration is preferred
Ability to adapt quickly to new software platforms and organisational processes
