Job overview

The Admissions Co Ordinator post holder will be able to cover all areas of the Admissions service .The Admissions Coordinator is key to the efficient management of patients referred to the International and Private Patients Division requiring admission. The role supports the Admissions Manager and the Patient Services Manager in ensuring that all parts of the patient admission are proactively managed.

The post holder will work closely with the Clinical Pathway team, the Client Coordinators, Consultants and their secretaries and other departments with the Trust to manage all admissions referred to I&PC whilst planning theatre sessions and MRI’s.

The administration service is provided from 7.00am – 6pm Monday to Friday. The post holder will be expected to work weekly contracted hours on a rotational basis within these times, but may from time to time be asked to work outside of these hours across all areas of I&PC administration, with prior arrangement.

The post-holder will be one of the first points of contact within a busy department. The individual will be required to provide a high level of customer care, be a team player, priorities own workload whilst providing leadership support.

You will be required to wear clothing in accordance with the Trusts uniform policy and infection control requirements as you will be based in a clinical area.

Main duties of the job

To provide a high level of customer service by delivering an efficient and effective service to all clients.
Ensure telephones for the admissions team are always covered and answered in a professional, time efficient and polite manner.
Ensure that the admissions service is covered from 7am - 6pm, Monday to Friday.
Train colleagues in areas of the admission processes to acquire skills and knowledge as necessary.
To process all waiting list/orders in a timely manner.
To provide referrers and families with written confirmation letters.
Liaise with secretaries to ensure tests are booked prior to admission.
To make direct telephone contact with families prior to their arrival ensuring any additional clinical information is communicated to the relevant clinical staff and ward areas.
To be responsible for capturing and recording all I&PC admissions across the trust.
