Job Summary

Join Our Team

IQ Fire Solutions is a growing fire safety and life safety company providing maintenance, servicing and installation of fire alarm, smoke ventilation and life safety systems across London and the South East.

We’re looking for an organised, proactive and customer-focused Business Support Coordinator to join our friendly office team. This is a varied role where no two days are the same. You’ll be the link between our customers, engineers and suppliers, helping to ensure our maintenance division runs efficiently while delivering outstanding customer service.

Key Responsibilities

As a Business Support Coordinator, you will:

Answer incoming telephone calls and respond to customer enquiries professionally.
Manage emails and day-to-day office correspondence.
Schedule engineer visits and allocate work using our management system (Up-Tick).
Create new reactive and planned maintenance jobs.
Prepare quotations for maintenance contracts and remedial works.
Obtain equipment pricing from suppliers.
Follow up outstanding quotations.
Process engineer service reports and certificates.
Issue completed documentation to customers.
Create and send customer invoices.
Maintain accurate customer records and job information.
Liaise with specialist subcontractors and arrange site visits.
Order equipment, office supplies and engineer consumables.
Monitor outstanding tasks and ensure work is completed within agreed timescales.
Support the wider office team with general administrative duties.

What We’re Looking For

Highly organised with excellent attention to detail.
A confident communicator with a friendly and professional manner.
Able to manage multiple priorities in a fast-paced environment.
Customer focused with excellent telephone and email skills.
Comfortable using Microsoft Office and computer-based management systems.
A proactive team player who enjoys taking ownership of their work.
Reliable, punctual and committed to delivering high standards.

Previous experience in an administration, service coordination or customer support role is desirable. Experience within the fire, electrical, facilities management or maintenance industry would be an advantage but is not essential, as full training will be provided.
