About the Role

JP Supplies is a family-run business based in Crawley, West Sussex, supplying PPE, safety footwear, cleaning and janitorial products, office supplies and workplace essentials to businesses across the South East and beyond.

Having successfully traded for over 36 years, we are continuing to invest in the business, including a new website, improved systems and new ways of working.

We are looking for an Office & Operations Administrator to join our close-knit team and become an important part of the day-to-day running of the business.

This is a varied role covering office administration, customer service, purchasing, order processing and general business operations. You will work closely with customers, suppliers and the directors, helping to ensure orders are processed correctly, suppliers are managed effectively and the office runs smoothly.

This would suit someone who is organised, proactive and enjoys having responsibility rather than doing the same task every day.

Key Responsibilities

Processing customer orders received by telephone, email and through our website.
Responding to customer enquiries and providing a professional and helpful service.
Preparing quotations and following up customer requirements.
Managing customer accounts and maintaining accurate customer records.
Processing sales and purchase orders using our Intact ERP system – full training provided.
Ordering products from suppliers and monitoring outstanding orders and deliveries.
Liaising with suppliers regarding pricing, availability, lead times and delivery issues.
Supporting purchasing and stock administration.
Checking incoming stock and helping resolve any discrepancies.
Maintaining accurate paperwork, records and documentation.
Supporting the directors with day-to-day administration and business tasks.
Helping identify and improve internal processes and ways of working.
Assisting with website orders and online customer accounts.
Serving customers who visit our trade counter when required and providing a friendly, professional service.
Working with the wider team to ensure customers receive a high level of service from order through to delivery.
Some warehouse picking is required to prepare orders for our delivery team

About You

We're looking for someone who is organised, reliable, proactive and confident dealing with customers and suppliers.

You will ideally have:

Previous experience in administration, customer service, sales support, purchasing or a similar office-based role.
Excellent communication skills, both written and verbal.
Strong organisational skills and attention to detail.
Good computer skills and confidence using Microsoft Office.
The ability to manage multiple tasks and prioritise your workload.
A positive and proactive attitude.
The confidence to deal with customers and suppliers professionally.
The ability to work independently and take responsibility for your workload.
A willingness to learn new systems and processes.
A practical approach to problem-solving.

Experience using an ERP system such as Intact would be an advantage but is not essential, as full training will be provided.

Pay: From £30,000.00 per year
