JOB DESCRIPTION AND PERSONAL SPECIFICATION

Purpose of role:

To provide administrative support and assistance to the Fostering Team and to establish and maintain effective links and professional relationships with colleagues including Supervising Social Workers, Support Workers, Foster Carers, Panel Members and other agency services.

Main duties and responsibilities:

To maintain all records and files within designated filing systems in line with agency procedures as required.
To send out invitations, consultation forms and reports and chase required responses as instructed.
Maintain the annual fostering panel schedule.
Arrange panel dates and confirm the availability of panel members, the Panel Chair, Panel Adviser and Agency Decision Maker.
Prepare and circulate panel agendas within the required timescales.
Receive, check and organise all paperwork being presented to panel.
Check that panel documents are complete, signed, dated and appropriately quality assured before circulation.
Liaise with social workers and managers regarding missing or incomplete information.
Circulate secure panel packs to panel members within agreed timescales.
Ensure confidentiality and secure handling of all panel documentation.
Invite foster carers, applicants, social workers and other relevant attendees to panel.
Make practical arrangements for face-to-face or virtual panel meetings.
Take clear and accurate panel minutes, including the panel’s discussion, reasons, recommendations and any additional advice.
Submit draft minutes to the Panel Chair and Panel Adviser for checking and approval.
Maintain accurate records of panel attendance, declarations of interest, training and annual appraisals.
Keep a record of panel recommendations and Agency Decision Maker decisions.
Produce placement meeting packs to be available for Supervising Social Workers. Ensure all relevant data is recorded and uploaded to E-Care following start of a placement.
Make up new carer packs for newly approved carers, and child packs for new placements.
To ensure that all the work undertaken by yourself is conducted to the highest professional standards and achieves Paramount Foster Cares standards and targets for customer service
To take responsibility for own professional development in the role, actively participating in appraisal and attending all relevant training and development activities.
Attend and participate in team meetings and take minutes.The duties as outlined in this job description are not exhaustive and may change from time to time due to the changing nature of the working environment. You are expected to carry out all appropriate tasks necessary to meet the needs of the services or as may be requested by your line manager
Personal Specification:· GCSE in English and math’s or equivalent

· Experience of secretarial or administrative work

· Experience in working part of a multi-disciplinary team

· Ability to provide a high standard of customer service

· Knowledge of data protections regulations and ability to operate within confidentiality guidelines

· Ability to maintain appropriate professional boundaries

· Effective communication skills and the ability to build positive working relationships with colleagues, young people, foster carers and external contacts

· Ability to operate as a team member and have a high level of accuracy and attention to detail

· Excellent organisation and time management skills

· Excellent IT skills across a range of software applications, including databases

· A commitment to challenge discrimination and promote equality and diversity within the job role

· Flexible working expected to work some Saturdays for panel minute taking online
