We are seeking to appoint a Faculty Administration Manager

Aims of Job/Job Purpose

The College has 5 curriculum faculties with a Faculty Administration Manager assigned to each. The FAM (Faculty Administration Manager) is an integral part of a specific Faculty Management Team, primarily responsible for providing comprehensive and effective administrative support. Leading a small team of administrators, the FAM is required to coordinate administrative functions ensuring staff services are provided key deadlines are met. The FAM will be required to work across all campuses.

Key Accountabilities and Responsibilities

To be responsible for monitoring, analysing and evaluating all aspects of performance for the faculty
to ensure key performance indicators (KPIs) are met. FAMs must be fully aware of their respective
faculty’s SAR (Self-Assessment Report) content and subsequent areas for Improvement. The Faculty Administration Manager assists in monitoring the Faculty performance against relevant
reports.
To support the Faculty Head, Deputy Faculty Head and Heads of Schools in ensuring compliance
against agreed college deadlines and processes. Monitoring of all relevant Faculty Administration
Reports to ensure the co-ordination of all issues related to the student learning journey.
To be responsible for the provision of high level administrative support to the Faculty Head and the
faculty curriculum managers, including budget monitoring, calendar management, minute taking,
reports, letters, answering telephones and liaising with external agencies on behalf of the Faculty as
and when required.
The Faculty Administration Manager is primarily responsible for the coordination of communication
with internal and external customers including complaint responses on behalf of the Faculty at all
times ensuring strict adherence to GDPR.
To support the Faculty Head in their role as Campus lead for the relevant campus/campuses to
ensure the smooth running of that site. This will require the FAM playing an active role in providing
campus wide administrative and logistical support when needed i.e. during exam windows and so
on.
To oversee the organization of disciplinary processes within the faculty and ensure that any trips
and visits organized by faculty staff meet regulatory requirements and have been authorized by the
relevant managers.
To manage the administrative team ensuring workloads are managed efficiently and effectively;
prioritising the administrative functions for the Faculty in a timely manner to ensure targets are met
in line with Faculty / College calendars. This should include holding regular team meetings and
setting termly and weekly priorities.
To be responsible for cascading key termly priorities set by the Senior Leadership Team. Share
priorities with the faculty and the administration team, developing their understanding of those
priorities and their impact on the faculty and in turn the wider college i.e. funding.
To manage and co-ordinate the day to day activities of the faculty administrators, ensuring support
is available to faculty staff. Undertake all tasks in respect of the management of administrators in the
team including;
- Undertaking performance and development reviews
- Promoting CPD opportunities for staff
- Ensuring maintenance of confidentiality and adherence to GDPR
- Arranging annual leave
- Monitoring and reporting absence
- Overseeing their daily work duties
As an integral part of the faculty management team, attend college, centre and faculty management
meetings and any other relevant meetings as required – for instance quality and target review
meetings with Heads of Schools
Support Faculty Managers in the planning and organisation of faculty and campus meetings and
events such as Learner Voice, parents’ evenings, student award ceremonies, open days,
admissions events, enrolment days, progression events etc
To ensure all marketing materials are up to date and relevant
To undertake any other duties commensurate with your role and grade
