Full job description

Overview

We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, supporting team members, and maintaining efficient office processes. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to their work, helping us foster a productive and welcoming workspace. This position offers an exciting opportunity to develop your administrative skills and contribute to a thriving organization.

The successful candidate will work alongside our current office manager and will ideally have experience using Sage software. We will also be able to offer flexible working hours.

Responsibilities

Handling phone inquiries with professionalism and courtesy.
Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
Perform data entry tasks accurately using sage accounting software
Support accounting functions by assisting with invoicing, expense tracking,
Handle incoming and outgoing correspondence, including emails, mail, and deliveries.
Assist with inventory management of office supplies and equipment to ensure availability and proper maintenance.
Provide general administrative office support
Log and reconcile supplier invoices and delivery notes accurately and in a timely manner
Maintain and organise digital and physical documentation (e.g., contracts, POs, invoices)
Assist with inventory tracking and internal stock movement documentation
Support internal departments with administrative needs (e.g., HR, finance, operations)
Ensure compliance with internal policies and procedures
Help manage Payroll on a monthly basis
Pay suppliers/collect payment from customers
balance accounts

Qualifications

Proven experience in an office environment or administrative role demonstrating strong organizational skills.
Proficiency in computer skills including Microsoft Office Suite, (Excel), and basic data entry techniques.
Excellent phone etiquette with the ability to communicate clearly and professionally.
Strong organizational skills with keen attention to detail and multitasking abilities.
Experience with clerical tasks such as filing, copying, scanning, and record keeping.
Familiarity with Sage accounting software or similar accounting software is a plus.
