Full job description

We are looking for a friendly, organised, and professional Dental Administrator and Patient Communicator to join our busy, modern and state-of-the-art dental practice. This role will primarily be managing patient communications across multiple channels and will also involve interaction and communication with all parts of the Practice.

Your main responsibilities will include handling inbound telephone calls, responding to patient emails, managing enquiries received through Boxly and our website, and providing timely, accurate, and compassionate support to patients. You will play a key role in ensuring all patient enquiries are managed efficiently, appointments are coordinated effectively, and patients receive an outstanding level of customer service.

While this is predominantly an administrative patient communication/coordinator role, there may be occasions where you will be required to assist other staff such as the Treatment Coordinator, or providing support at reception assisting with welcoming and helping patients in person during busy periods or when additional cover is required.

Key Responsibilities

Answer and manage a high volume of inbound telephone calls, providing a professional, friendly, and efficient service to patients.
Respond promptly and accurately to patient enquiries received via email, Boxly, and website enquiry forms.
Book, amend, cancel, and confirm patient appointments in line with practice protocols.
Provide patients with information regarding treatments, appointments, fees, and practice services, referring clinical queries to the appropriate clinician where necessary.
Maintain accurate and up-to-date patient records using the practice management system.
Manage patient communications, including appointment reminders, recalls, follow-up correspondence, and general administrative requests.
Liaise with dentists, hygienists, nurses, and the wider practice team to ensure patient enquiries are resolved efficiently.
Escalate complex or sensitive enquiries to the appropriate team member when required.
Ensure all patient interactions are handled with empathy, professionalism, and confidentiality, in accordance with GDPR and practice policies.
Support the smooth day-to-day operation of the Telephony Room by prioritising workloads and responding to enquiries within agreed service standards.
Assist with reception duties and provide face-to-face support to patients when required, including checking patients in and offering administrative assistance during busy periods.
Contribute to a positive patient experience by delivering exceptional customer service across all communication channels.
Participate in team meetings, training, and continuous improvement initiatives to enhance patient communication and service delivery.

Skills & Experience

Previous experience in a dental, or customer service administration role is desirable.
Excellent telephone manner and written communication skills.
Strong organisational skills with the ability to prioritise and manage a busy workload.
Confident using computers, email systems, and practice management software.
Ability to work both independently and collaboratively within a team.
Friendly, empathetic, and professional approach when communicating with patients.
Knowledge of dental terminology and NHS/private dental processes is advantageous but not essential.
