Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth operation of daily office functions, providing essential support to our staff and management. As an Office Administrator, you will be the backbone of our administrative operations, fostering an efficient, welcoming, and productive environment. Your proactive approach and attention to detail will help us deliver exceptional service internally and externally, making a real difference every day.

Responsibilities

Manage front desk duties including greeting visitors, answering phones with professional etiquette, and directing inquiries efficiently
Maintain organized filing systems, both physical and digital, ensuring quick access to important documents
Handle data entry tasks accurately using Microsoft Office applications and Google Workspace tools. Previous experience with Business Micros preferred.
Support accounting processes by preparing invoices, processing payments, and managing QuickBooks records
Coordinate scheduling for meetings, appointments, and conference rooms to optimize office workflow
Assist with procurement of office supplies and equipment to ensure operational continuity
Perform general clerical tasks such as photocopying, scanning, mailing, and maintaining office inventory

Skills

Proven experience in an office environment demonstrating strong organizational skills
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Calendar), and business Micros.
Excellent phone etiquette with the ability to communicate clearly and professionally in all interactions
Strong typing skills for efficient data entry and document preparation
Previous administrative experience with a focus on clerical tasks and data management
Exceptional organizational skills to prioritize tasks effectively in a fast-paced setting
Knowledge of basic accounting procedures and familiarity with office equipment is a plus
