Job Summary
We are seeking an experienced and organised Receptionist to be the welcoming face of our organisation. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your proactive approach and excellent organisational skills will ensure smooth office management and support daily administrative functions. This position offers an exciting opportunity to be the first point of contact, creating a positive impression and maintaining efficient office workflows.

Duties

Greet visitors, clients, and vendors warmly, ensuring a professional and friendly environment
Answer, screen, and direct incoming calls using multi-line phone systems with professionalism and courtesy
Manage front desk operations including scheduling appointments, handling mail, and maintaining visitor logs
Perform data entry, filing, and proofreading tasks to support administrative functions
Utilise computer skills in Microsoft Office for various clerical duties
Assist with calendar management, appointment setting, and personal assistant tasks as needed
Support office management activities such as inventory tracking, supply ordering, and maintaining office organisation
Provide customer support by responding to inquiries promptly and efficiently
Maintain accurate records of all communications and transactions for easy retrieval

Qualifications

Proven experience in office administration or clerical roles with strong organisational skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong phone etiquette with experience managing multi-line phone systems
Previous experience in reception or front desk roles within financial or insurance offices is preferred
Exceptional attention to detail with proofreading and data entry skills
Ability to multitask effectively while maintaining a positive attitude under pressure
Strong time management skills with the ability to prioritise tasks efficiently
