Full job description

To provide a courteous reception service to patients and clinicians in line with office procedures, contributing to the overall efficient and effective running of designated outpatient clinics. The post-holder is responsible for checking in and outcoming patients and undertaking an effective forward planning to ensure that all clinical results are accessible and prepared for the clinics to the high standard expected on a daily ongoing basis.

To work closely with Service Manager, nursing and medical staff to ensure that any issues in clinic are raised immediately to maintain an excellent level of service to patients, providing a welcoming and professional attitude, always ensuring patient care is optimised.

Administrative duties include Emailing reports, post reports, preparation of notes and clinic lists for clinics, booking interpreters, reminder telephone calls to families, this list is not exhaustive. See job specification and person specification.

The post-holder must play a proactive role in collecting, verifying and recording a high standard of patient demographic data in a pressurised environment. This involves accurately entering data in a timely manner on the computerised patient information system. This is to ensure that the trust receives the appropriate level of income for patient activity, avoids the potential clinical risks inherent with inaccurate patient records and is compliant with national NHS targets (e.g. on data quality and length of patient wait).

Main duties include reception of clinics, administrative duties, prepping clinics, interpreters, telephone reminder calls, booking follow up appointments, distribution of reports via post and email, plus other admin duties as per job specification.

These duties do not require direct supervision on a day-to-day basis, therefore, ability to prioritise your own workload is essential. The post holder will work as part of a team where good communication skills are a must.
