Job Title: Office Administrator

Reports to: Head of Group Operations (with dotted-line support to Accounting and Education Departments)

Full-time, permanent, office-based
Immediate start date
£26,500.00 per annum from start, plus bonus

Phoenix Medical Group is a leading organisation for complementary therapists in the UK and Europe. This is a rare opportunity to join a committed, supportive team where your work directly contributes to high-quality education and services in the complementary healthcare sector.

We are recruiting an office administrator with a strong focus on:

supporting the Operations Director with quality management system administration and filing,
assisting the Accountant with data entry and basic accounts administration, and
supporting the Education Department with day-to-day student administration and enquiries.

Key Responsibilities

1. Quality Management System (QMS) & Operational Support

Assist the Operations Director in maintaining and updating quality management system documentation.
Ensure accurate filing, version control, and organisation of QMS records (digital and paper-based).
Support with general office administration to ensure compliance with internal procedures and quality standards.

2. Finance & Data Entry Support

Assist the Accountant with accurate data entry into accounting systems.
Support basic accounts administration tasks such as recording payments, updating ledgers, and filing financial documents.
Help maintain accurate, up-to-date financial records in line with company processes.

3. Student & Education Administration

Manage student enrolment records and payments, ensuring data is accurate and kept up to date.
Provide day-to-day support to students via email and telephone, handling queries in a professional and friendly manner.
Assist in managing course content on Moodle and education websites (full training provided).
Help maintain and update education websites in coordination with the digital marketing team.
Create, format, and update course-related documents such as enrolment forms, timetables, and syllabi.
Support the organisation and administration of in-person and online events including lectures, webinars, workshops, and conferences.

Requirements

Proactive, reliable, and diligent work ethic.
Proven experience in an office-based administrative role.
Strong computer skills, including Internet use and Microsoft Office (Word, Excel, Outlook).
High level of attention to detail, especially in data entry and document management.
Excellent organisational and multitasking skills, with the ability to prioritise and meet strict deadlines.
A team player with a positive attitude and high level of dedication.
Good written and verbal communication skills and a friendly, professional manner when dealing with students and colleagues.
Experience in education administration, finance/admin support, or quality management administration is desirable but not essential.
A relevant qualification in administration, business, or a related field is an advantage.
