Full job description

Catteralls Coaches is a long-established family-run coach operator based in Long Itchington, Warwickshire. Operating a fleet of approximately 40 vehicles, we pride ourselves on running a safe, reliable and a DVSA-compliant operation.

We are seeking a Senior Workshop Administrator to support the administration, compliance and engineering functions of our workshop.

This is a predominantly office-based role, with approximately 90% of your time focused on administration, compliance, parts procurement, record management and health & safety coordination, with around 10% spent providing practical workshop support where required.

The role is ideal for somebody who combines strong administrative and IT skills with previous vehicle engineering, workshop or fleet maintenance experience.

Importantly, this is not a mechanic's role. Your administrative ability, organisational skills and attention to detail are just as important as your technical knowledge.

Salary within the advertised range will reflect the successful candidate's administrative, compliance and engineering experience.

Hours of Work

Monday to Friday
8:00am - 5:00pm
Paid one-hour lunch break
Lunch times are staggered to support workshop operations

Main Responsibilities

Workshop Administration & Compliance

Manage engineering job cards, maintenance records and workshop documentation
Follow up outstanding paperwork with workshop staff
Ensure maintenance records, inspection documentation and job card records remain complete, accurate and audit-ready
Monitor inspection schedules and maintenance intervals
Support DVSA maintenance compliance requirements
Assist the Garage Manager with workshop administration and compliance monitoring
Receive training to make best use of the Distinctive Systems workshop management package

Parts Procurement & Engineering Coordination

Source vehicle parts and workshop consumables
Obtain quotations and place orders
Build strong relationships with suppliers and contractors
Support technical decision making using your engineering knowledge
Assist in identifying suitable repair solutions and parts requirements
Help minimise vehicle downtime through effective planning and sourcing

Health & Safety Coordination

Work alongside the company's external health & safety consultant to review, improve and maintain workshop H&S systems
Maintain risk assessments, COSHH records and safety documentation
Manage fire safety records, attendance logs and site compliance records
Liaise with external contractors where required
Over time, take ownership of maintaining workshop H&S, administration systems and records

Additional Engineering Support

When administration duties permit:

Carry out minor workshop tasks such as

Replace bulbs and seat belts
Assist with simple repairs
Prepare and stage parts for workshop jobs
Move vehicles around the depot if appropriately licensed
Provide support to engineering staff during busy periods

General Depot Administration

Manage lost property records and administration
Maintain depot paperwork and operational records
Support wider administrative functions within the engineering department
Identify opportunities to improve workshop administration processes and systems

Essential Requirements

Strong administrative and organisational skills
Excellent attention to detail
Advanced Microsoft Office skills, particularly:
Excel, Word & Outlook
Ability to confidently manage and analyse records, schedules and operational data using Excel
Strong communication skills
Full UK Driving Licence
Ability to prioritise workload and manage deadlines

Understanding of maintenance planning and inspection schedules

Health & Safety administration experience
Category D PSV licence
