Full job description

Job Title: Medical Secretary

Location: Ivel Medical Centre, Chestnut Ave, Biggleswade SG18 0RA

Contract Type: Part Time and Full Time

Salary: £12.75 - £14 per hour

Hours: 15 hours - 37.5 hours per week Monday – Friday. Practice is open between 08:00 and 18:30. Working times are negotiable.

Full time: Monday to Friday 09:00 - 17:00

Part time: X2 days 09:00 - 17:00

Applicants must have previous medical secretary experience, as we are currently seeking experienced individuals at this time.

Located in Biggleswade, Ivel Medical Centre is dedicated to delivering high-quality, patient-centred healthcare with a professional and compassionate approach. We are a supportive, friendly team of clinicians and administrative staff who value collaboration, professionalism, and excellent patient care.

The Role

We are looking for two confident and organised Medical Secretaries to join our team . In this role, you will handle referrals from initial request through to final outcome, acting as a central point of coordination between patients, clinicians, and external services. You will support the delivery of high-quality clinical care by working closely with the practice team to ensure services are safe, efficient, and patient-focused.

Key responsibilities include:

· Process and submit all referral types (routine, urgent, 2WW, private, Right to Choose) ensuring they meet service criteria

· Prepare and quality-check referrals, including gathering and attaching all required supporting information

· Manage and monitor referral progress, including tracking outcomes, rejections, DNAs, and follow-up actions

· Chase hospitals and services for appointments, updates, results, and correspondence, escalating where necessary

· Liaise with patients to obtain missing information, provide updates, and support completion of required actions

· Communicate with external providers to clarify requirements, provide information, and redirect referrals where needed

· Coordinate with clinicians and internal teams to progress referrals and resolve queries

· Manage tasks, email inboxes, and eRS worklists, ensuring accurate updates and audit trails

· Maintain referral trackers (e.g. 2WW, A&G, DNA) ensuring records are accurate and up to date

· Process incoming correspondence and initiate or complete follow-up actions

· Monitor and complete outstanding or held work, including sending reminders as required

· Resolve administrative issues and ensure continuity of workflow

· Participate in team meetings and contribute to process improvements

Requirements

Previous experience as a medical secretary within a GP practice or NHS environment essential
IT proficient - Experience using clinical system SystemOne
Knowledge of medical terminology
Awareness of data protection and confidentiality
Educated to GCSE level (or equivalent), including English
Strong communication and interpersonal skills
Eligible to work in the UK

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
