Full job description

Job Overview
We are seeking a proactive and detail-oriented Administration Assistant to support a Financial Adviser in delivering exceptional client service and efficient office operations. This paid position offers an excellent opportunity to gain experience within the financial services sector, specialising in financial planning and analysis. The successful candidate will be responsible for managing administrative tasks, preparing reports, and maintaining effective communication with clients and team members.

Responsibilities

Assist in preparing comprehensive reports and analysing financial data to support planning activities
Manage client records and ensure all documentation is accurate, organised, and up-to-date using Microsoft Office applications such as Word, Excel, and Outlook
Provide exceptional customer service by responding promptly to client enquiries via email or phone
Support the Financial Adviser with scheduling appointments, follow-ups, and maintaining the calendar
Conduct basic analysis to identify trends or discrepancies within financial data sets
Draft correspondence, presentations, and other documentation with clear and professional communication skills
Organise files, documents, and other administrative materials efficiently to facilitate smooth office operations
Utilise IT skills to troubleshoot minor technical issues related to office software or hardware

Experience

Previous administrative experience is preferred but not essential; training will be provided for specific tasks
Strong report writing and analysis skills are desirable for supporting financial planning activities
Familiarity with financial services or related sectors will be advantageous
Excellent organisational skills with the ability to prioritise tasks effectively and manage time efficiently
Proficient in Microsoft Office suite, including Word, Excel, and Outlook; knowledge of IT systems relevant to office administration is beneficial
Outstanding communication skills—both written and verbal—are essential for liaising with clients and team members
Demonstrated customer service experience with a professional approach towards client interactions
