Rota Coordinator

Job Summary

We are looking for an organised and confident Rota Coordinator to join our domiciliary care team. The successful candidate will be responsible for planning, maintaining and monitoring care staff rotas to ensure client visits are covered safely, efficiently and in line with service requirements.

This role is suited to someone who is confident with scheduling, able to work under pressure, and able to communicate professionally with carers, clients and office staff.

Main Duties

The Rota Coordinator will be responsible for:

Preparing and maintaining staff rotas.
Allocating carers to client visits based on availability, location, suitability and continuity.
Ensuring all visits are covered safely and on time.
Monitoring the rota throughout the day and responding to changes.
Managing short-notice sickness, absence and availability changes.
Updating the ECM/rostering system accurately.
Communicating rota changes to carers, clients and relevant office staff.
Recording reasons for visit changes, cancellations or reallocations.
Checking for unallocated visits, overlaps or unrealistic schedules.
Supporting continuity of care where possible.
Considering travel time and practical route planning.
Escalating unresolved rota risks to management where required.

Key Responsibilities

The successful candidate will help ensure that care visits are properly planned and monitored. This includes reviewing daily rotas, identifying gaps early, finding suitable cover, keeping staff availability records up to date and ensuring changes are communicated clearly.

The role requires someone who can stay calm under pressure, make practical decisions and keep accurate records. You must be able to manage competing priorities and understand the importance of safe staffing in a domiciliary care environment.

Skills and Experience

The successful candidate should have:

Experience in domiciliary care, care coordination, rostering or scheduling.
Strong organisational skills.
Excellent attention to detail.
Good communication skills.
Ability to work under pressure.
Confidence using computer systems, email and Microsoft Office.
Ability to update records accurately.
Ability to manage last-minute changes professionally.
Good understanding of confidentiality and professional boundaries.
Experience using Birdie or another ECM/rostering system would be desirable, but training can be provided.

Candidate Profile

We are looking for someone who is reliable, organised, proactive and able to solve problems quickly. The right person will be able to balance client needs, staff availability and safe service delivery while keeping clear and accurate records.

Pay and Hours

Pay: £13.20–£15.50 per hour, depending on experience
Hours: Full-time, 35 hours per week
Location: Office-based
Experience: Domiciliary care, scheduling or care coordination experience preferred

Pay: £13.30-£15.50 per hour
