Job Overview

We are seeking a highly organised and detail-oriented Office Administrative Assistant to join our team. This role involves providing essential administrative support to ensure the smooth operation of daily office activities. The ideal candidate will possess strong computer skills, excellent communication abilities, and a proactive approach to task management. This paid position offers an opportunity to develop your administrative expertise within a professional environment.

Responsibilities

Managing incoming calls with professional phone etiquette and directing enquiries appropriately
Organising and maintaining files, records, and documentation in both physical and digital formats
Performing data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks software
Assisting with scheduling appointments, meetings, and managing calendars effectively
Preparing correspondence, reports, and presentations as required
Supporting the team with general clerical duties including photocopying, scanning, and mailing
Ensuring office supplies are stocked and ordering replacements when necessary
Handling basic bookkeeping tasks such as invoicing and expense tracking

Skills

Proven office experience with a strong understanding of administrative procedures
Excellent organisational skills with the ability to prioritise tasks efficiently
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Strong typing skills with high accuracy for data entry tasks
Good phone etiquette and clear communication skills
Previous clerical experience is desirable but not essential; training will be provided for specific software tools
Ability to work independently with minimal supervision while maintaining attention to detail
Adaptability to a fast-paced environment with a proactive attitude towards problem-solving
