Do you like working as a team? Are you passionate about supporting people’s Mental Health?

An exciting opportunity has arisen to join our Community Services teams as an Administrator for an individual who is keen to develop their skills. We are looking to recruit an experienced administrator to join the Barnet Core Community Teams, supporting people with Mental Health issues over 18 years of age and within the Barnet catchment areas and provides specialist assessment and pharmacological treatment. Your duties will include supporting patients and their relatives who are under the community mental health teams as well as providing comprehensive administrative support to the multidisciplinary team of doctors, nurses, support workers and other professionals involved in patient care.

The post holder will provide an effective and efficient secretarial and administrative service within one of the service lines that form the Foundation Trust.

The postholder will need to demonstrate a high level of prioritising and organisational skills and be able to use initiative to develop office support systems as required, and to organise their own workload to meet Trust and local requirements, adjusting priorities as necessary in negotiation with the department and administration managers.

The job will involve liaison between colleagues at all levels, both inside and outside the Trust, as well as with service users and carers.

The postholder will be expected to identify threats to the service offered to service users or to the Trust and to contribute to improving systems and processes.

All administrative staff are expected to support the reception function by providing excellent customer service at all times.

In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that fall under Barnet, Camden, Enfield, Haringey or Islington. The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.

The post holder will be responsible for supporting the smooth, safe, and effective management of patient care through the provision of a high‑quality administrative service. Key duties include:

Ensuring the efficient and safe coordination of patient care and administrative processes.

Attending meetings, including weekly clinical MDT meetings and other team meetings, with responsibility for minute taking, editing, and issuing accurate reports.

Providing a high‑quality administrative, clerical, and reception service to patients and their carers accessing Trust services.

Maintaining effective filing systems and decanting service user records in accordance with the Trust’s Medical Records policy and procedures.

Scanning and uploading documentation onto electronic clinical systems in a timely and accurate manner.

Supporting clinical staff with administrative tasks, including liaising with internal and external stakeholders, drafting and sending emails and letters, answering telephone enquiries, and issuing appointment text reminders.

Undertaking regular telephone liaison with external agencies and partner organisations as required.

Using initiative to prioritise workloads effectively, meet deadlines, and respond flexibly to service demands.

Additional Responsibilities

Supervising Band 3 Administrators and providing oversight of their duties when required.

Managing and updating quarterly reports and spreadsheets.

Updating administrative systems and service crib sheets as required.

Monitoring stock levels and ordering stationery and other supplies in line with procurement processes.

Supporting the induction and training of new administrative staff.

Acting as Fire Marshal lead for the building, following completion of required training.

Managing and maintaining the service email distribution list.

Troubleshooting IT issues in liaison with IT teams from BEH or C&I to support staff.

Reporting concerns or incidents to the Band 5 Administration Manager and completing Datix reports when required.
