Full job description

We are seeking to appoint an enthusiastic individual to join our administration team delivering excellent customer service to both internal and external stakeholders.

The job includes being the first point of contact for customers and suppliers and general office administrative duties such as invoicing, record keeping and holiday cover for the other administrative assistant.

Main duties include but not limited to:

General Administration

. Provide day-to-day administrative support across the business

· Manage email, phone calls and customer enquiries

· Maintain organised filing system for project documentation

· Maintain and monitor employee certification records and other trade qualifications ensuring all site personnel hold valid and up-to-date cards. Co-ordinate renewals and training where required

· Registering and monitoring customer defects

· Organising and updating defects

· Scheduling appointments for defects/maintenance

· Liasing with Facility Management clients

General Accounts Support

. Process supplier invoices ensuring accuracy and correct coding

. Reconciling supplier statements and resolve discrepancies promptly

. Communicate with suppliers regarding payment queries and account issues

. Support month end process

Personal attributes

· Previous experience in a similar role, ideally within a small business

. Strong organizational skills with the ability to prioritize tasks effectively

· Excellent clerical skills, including typing and data entry

· Knowledge of computer systems including Microsoft 365 and Sage 50 accounts

· Accuracy and attention to detail – must be able to perform a variety of duties whilst adhering to deadlines and maintaining accuracy

· Strong phone etiquette and communication skills
