Full job description

Job Summary
We are seeking a highly organised and detail-oriented Sales Administrator to join our team. The successful candidate will play a vital role in supporting the sales department by managing administrative tasks, maintaining customer relationships, and ensuring smooth day-to-day operations. This position offers an excellent opportunity for individuals with strong computer literacy and communication skills to contribute to a dynamic business environment.

Duties

Assist the Operations Manager by tracking vehicle turnover, ensuring retired fleet vehicles are prepped for re-sale and new ones are brought into service efficiently.
Process invoices, update lease records, and monitor accounts to ensure rental and finance payments are tracked.
Act as the first point of contact, fielding phone calls and emails from prospective buyers, taxi drivers, and corporate accounts.
Address initial customer queries and complaints, routing complex issues to the relevant sales manager or director.
Generate accurate sales invoices, process credit checks, and liaise with external finance companies.
Accurately process vehicle purchase and sales agreements, ensuring all terms, deposits, and final payments are successfully recorded.
Handle the preparation and submission of DVLA paperwork, V5C transfers, and road taxation for newly sold vehicles.
Maintain up-to-date physical and digital stock books, tracking vehicle history, MOT status, and servicing records.

Qualifications

Proven experience in sales administration or similar administrative roles
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with CRM software and Sage is desirable
Strong organisational skills with the ability to prioritise tasks effectively
Excellent communication skills in English, both written and verbal
Good IT skills with a solid understanding of computer literacy principles
Ability to work independently as well as part of a team in a fast-paced environment
Demonstrated customer service skills with a professional attitude
Knowledge of sales processes and administrative procedures is advantageous
