Full job description

We’re looking for an organised and proactive Group Coordinator to join our team on a 12-month fixed-term contract. This is a key support role within our Engineering teams, helping to ensure the smooth day-to-day running of projects, processes, and team operations.

The role will be based from our London office on a hybrid working arrangement.

You’ll work closely with engineers and wider business services teams, playing a central role in coordination, communication, and administration across a busy and collaborative environment.

What you’ll be doing

This is a varied role where no two days are the same. Key responsibilities include:

Coordinating team activities, including meetings, reporting, presentations, and away days
Supporting bids and business development activity by preparing CVs, documents, and submissions
Managing travel arrangements and diary coordination for the team
Taking meeting minutes and tracking actions for both internal and client-facing meetings
Ensuring engineers complete timesheets and supporting project administration
Formatting and producing high-quality documents in line with brand guidelines
Supporting onboarding for new starters and coordinating key people processes (e.g. career development meetings)
Maintaining SharePoint pages and ensuring information is accurate and up to date
Assisting with IT coordination, systems usage, and process adherence
Providing general administrative support to the wider team and Group Leader

What we’re looking for

You’ll be a confident and detail-oriented administrator who thrives in a fast-paced, team-focused environment.

Essential skills and experience:

Strong IT skills, including Microsoft Word, Excel, PowerPoint, SharePoint, and Teams
Experience supporting teams in an administrative or coordination role
Ability to manage multiple priorities and deadlines effectively
Excellent communication and organisational skills
High attention to detail and a proactive, problem-solving mindset
Comfortable working with stakeholders at all levels of seniority

Desirable:

Experience working across multiple teams or locations
Knowledge of InDesign (training can be provided)
Experience maintaining systems, processes, or quality standards
