As we continue to expand across the UK and international markets, we are looking for a highly organised, proactive and enthusiastic individual to join our team as Office Manager & Exhibitions/Events Coordinator.
The role
This is a varied and important position combining the day-to-day management of our office environment with responsibility for coordinating exhibitions, trade shows, customer events and internal company events.
The successful candidate will ensure the office operates efficiently and maintains a positive, professional atmosphere. They will also take ownership of the planning and delivery of events, from initial concept and budgeting through to completion and post-event review.
This role requires someone who is highly organised, commercially aware, confident dealing with people at all levels and capable of managing multiple projects, deadlines and priorities.
Key responsibilities
Office management and operations
- Oversee the smooth day-to-day running of the office and promote a positive, professional and productive working environment.
- Act as the central point of contact for office-related queries and requirements.
- Maintain an organised, efficient and welcoming office environment.
- Manage office supplies, equipment, stationery and general facilities requirements.
- Review and improve office procedures, internal communication and ways of working.
- Support the onboarding and induction of new office-based employees.
- Maintain appropriate office records, documentation and company information.
- Assist with internal communications and company-wide activities.
- Work closely with HR, finance, marketing, sales, operations and other departments.
- Identify opportunities to improve efficiency and reduce unnecessary office and administrative costs.
- Support the company’s technology and systems transformation, encouraging the effective use of new processes and systems across the business.
- Help ensure that company data, customer information and price lists are accurate, current and regularly reviewed.
- Work with the wider team to review supplier and carrier costs and identify opportunities to improve value.
- Support improvements to order-processing procedures, helping to ensure customer orders and deliveries are managed accurately and efficiently.
- Promote continuous improvement and take ownership of agreed office and operational projects.
Exhibitions and events
- Take responsibility for coordinating UK and international exhibitions, trade shows and customer events.
- Develop and maintain an annual exhibitions and events calendar.
- Create and manage detailed event plans, schedules, deadlines and budgets.
- Book exhibition space, accommodation, travel, transport and other required services.
- Liaise with exhibition organisers, stand designers, contractors, venues and suppliers.
- Coordinate stand design, construction, graphics, signage, lighting, furniture and other presentation requirements.
- Work closely with the sales, marketing, design and product teams to ensure the correct products, samples and marketing materials are prepared.
- Arrange the delivery, installation and collection of samples, displays and exhibition equipment.
- Coordinate invitations, guest lists, customer appointments and event communications.
- Ensure exhibitions and events are appropriately staffed, fully briefed and professionally presented.
- Organise product launches, showroom events, customer presentations and internal company events.
- Attend exhibitions and events when required, including occasional UK and international travel and overnight stays.
- Ensure all relevant health and safety, insurance, security and venue requirements are met.
- Monitor event expenditure and ensure costs remain within agreed budgets.
- Conduct post-event reviews covering expenditure, customer feedback, sales opportunities, follow-up actions and lessons learned.
- Maintain an organised inventory of exhibition materials, equipment and reusable assets.
- Continuously review suppliers and event arrangements to improve quality and achieve the best possible value.
Skills and experience
The ideal candidate will have:
- Previous experience in office management, events, exhibitions, administration or a similar coordination role.
- Excellent organisational and project-management skills.
- The ability to manage several projects, priorities and deadlines simultaneously.
- Strong written and verbal communication skills.
- A confident, professional and approachable manner.
- Excellent attention to detail.
- The ability to work independently, take ownership and use initiative.
- Experience working with external suppliers, contractors and event organisers.
- Good commercial awareness and the ability to manage budgets carefully.
- Strong Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
- Experience using CRM, ERP and other office or business-management systems.
- Confidence working with data, reports, price lists and administrative information.
- The ability to remain calm, adaptable and solutions-focused when plans change or problems arise.
- A full UK driving licence.
- Flexibility to travel and occasionally work outside normal office hours when supporting events.
Experience within retail, home interiors, textiles, manufacturing or consumer brands would be beneficial but is not essential.
