Office Administrator

(DoE) £24,785 - £26,900

About the Role

We are looking for a highly organised and proactive Office Administrator to join our growing team. This is a varied and fast-paced role that is essential to the smooth running of our operations. The successful candidate will be responsible for providing comprehensive administrative support across multiple departments, ensuring compliance with company procedures, maintaining accurate records, and delivering excellent customer service to both internal and external stakeholders.

The ideal candidate will possess excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities while maintaining a professional and positive approach.

Key Responsibilities

Manage the onboarding process for new subcontractors, ensuring all required documentation, right-to-work information and compliance records are obtained and accurately recorded.
Coordinate quarterly driving licence checks for all employees and subcontractors authorised to drive company vehicles, ensuring compliance with company policies and insurance requirements.
Arrange and coordinate training courses for employees and subcontractors, issuing reminders and ensuring attendance to maintain operational compliance.
Maintain accurate records of employee and subcontractor qualifications, accreditations and training certificates, ensuring all personnel remain compliant for their designated roles.
Answer and manage incoming office telephone calls, dealing professionally with customer enquiries, complaints, suppliers and client requests.
Build and maintain strong working relationships with clients, suppliers, subcontractors and colleagues to ensure effective communication and the successful delivery of business objectives.
Maintain accurate administrative records for the company’s vehicle fleet, including vans and HGVs, ensuring all documentation is up to date and compliant.
Create purchase orders and procure company stock, including PPE, office supplies and construction materials.
Assist with the administration of vehicle insurance, including reporting accidents, maintaining claim records and liaising with insurers where required.
Ensure all documentation is accurately filed and maintained in accordance with company procedures and data protection requirements.
Provide general administrative support to management and other departments as required.
Identify opportunities to improve administrative processes and contribute to the efficient operation of the office.

Skills & Experience

Previous experience in an administrative or office support role is essential.
Excellent organisational and time management skills with the ability to prioritise a varied workload.
Strong communication skills, both written and verbal.
Confident telephone manner with excellent customer service skills.
High level of accuracy and attention to detail.
Competent in Google Sheets, Docs and Drive.
Ability to work independently while also contributing effectively as part of a team.
Professional, reliable and able to handle confidential information with discretion.
Experience within the construction, utilities or traffic management industry would be advantageous but is not essential.
