Full job description

We’re hiring a Collections Administrator to join our fast-paced Credit Control Team in Ayr. This is a full-time, office-based credit control role focused on actively pursuing outstanding debt, reducing aged balances and improving debtor days.

The role will involve managing a range of account portfolios, including insolvencies, debt collection escalations and other priority accounts. You will work closely with colleagues across the Collections team and wider business to resolve queries, maintain accurate records and support a consistent approach to debt recovery.

Day to day, you’ll carry out departmental administration, produce and maintain reports, contact customers to understand reasons for non-payment, agree suitable next steps and actively work to recover outstanding balances.

We’re looking for someone with strong administration and communication skills, excellent Excel capability and a proactive, organised approach. The ideal candidate will be confident managing multiple priorities, handling sensitive conversations professionally and delivering accurate results in a busy environment.

*Job-specific skills testing will be required at interview stage.

What you'll be doing

Manage a range of credit control portfolios, including insolvencies, debt collection escalations and other priority accounts.
Actively pursue outstanding debt by contacting customers by telephone, email and written correspondence.
Understand reasons for non-payment, resolve invoice queries and disputes, and negotiate appropriate payment arrangements.
Complete a variety of departmental administration tasks, including maintaining accurate CRM records and updating customer information.
Produce, maintain and analyse reports using Microsoft Excel, including large volumes of data, reconciliations and spreadsheet analysis.
Review account balances, investigate discrepancies and ensure issues are resolved promptly.
Work collaboratively with colleagues across Collections and other departments to support effective debt recovery.
Meet individual and team collection targets and KPIs

What you'll bring to the role

Minimum 3 years administrative experience, ideally within credit control, collections, finance or a similar environment.
Confident using a range of computer systems, including CRM or account management platforms.
Highly competent in Microsoft Excel, including XLOOKUP, data reconciliation and spreadsheet analysis.
Excellent written and verbal communication skills, with the ability to handle objections and sensitive conversations professionally.
Highly organised, detail-oriented and able to manage a high-volume workload while prioritising effectively.
A proactive approach to problem-solving, decision-making and achieving collection outcomes.
Comfortable working independently and as part of a team.

Desirable Skills

Previous experience in collections, credit control, accounts administration or a financial environment.
Experience using accounting software and CRM systems.
Experience within the utilities or water industry would be advantageous but is not essential.
