Full job description

Job Summary:

The Practice Manager is responsible for the smooth day-to-day operation of the GP practice, including leadership, strategic planning, business management, HR, finance, IT, and compliance with NHS and CQC standards. The manager plays a key role in supporting the GP Partners in developing services to meet the needs of patients and the wider community.

Key Responsibilities: Leadership and Strategic Management

Work alongside GP Partners to develop and implement business strategy.
Lead and motivate non-clinical staff and ensure effective teamwork.
Ensure high standards of care, customer service, and patient experience.

Operational Management

Oversee the daily running of the practice, including appointments, reception, and administrative systems.
Manage staff rotas, absence, recruitment, appraisals, and training.
Ensure efficient processes for repeat prescriptions, referrals, and clinical correspondence.

Human Resources

Maintain up-to-date HR records and policies.
Handle staff recruitment, induction, training, performance management, and conflict resolution.
Promote staff wellbeing and positive workplace culture.

Financial Management

Manage practice finances including budgets, payroll, pensions, invoices, and accounts.
Maximise income through enhanced services, QOF, and other funding streams.
Work with accountants, the ICB, and NHS England as required.

Compliance & Governance

Ensure compliance with Care Quality Commission (CQC), GDPR, Health and Safety, NHS England policies, and clinical governance frameworks.
Maintain up-to-date policies and lead on audits and inspections.
Act as the Caldicott Guardian or work closely with the Data Protection Officer.

IT & Information Management

Oversee clinical systems (e.g., EMIS), telephony, and digital services.
Ensure data quality and manage reporting for QOF, Enhanced Services, and other contractual obligations.

Patient Services

Ensure high standards of patient service, including complaints handling and patient engagement.
Promote and support the work of the Patient Participation Group (PPG).

External Liaison & Representation

Represent the practice in meetings with the ICB, PCN, CQC, NHS England, and other stakeholders.
Develop strong relationships within the Primary Care Network (PCN).

Person Specification: Essential:

Experience in GP practice leadership/management role
Strong leadership and organisational skills
Financial and HR management experience
Knowledge of NHS systems, contracts, and compliance
Excellent interpersonal, problem-solving, and IT skills

Desirable:

Previous GP practice management experience
Knowledge of EMIS
Qualification in healthcare/business management or HR
Understanding of QOF, DES, LES, and Enhanced Services
