About the role
Join our Connect Plus Service (CPS) Defect Management Team and play a key role in maintaining and enhancing the management of our planned and reactive maintenance infrastructure supporting the M25.
You will be responsible for the collection, maintenance, and reporting of maintenance-related data, providing timely and accurate administrative support to the maintenance team, including assisting with the upkeep of the routine maintenance management system.
Additionally, you will support a variety of operational and administrative tasks, such as
procurement, and equipment ordering. If you are interested in contributing to the future of one of the UK’s most critical transport networks, we would be pleased to hear from you.
Your focus on continuous improvement will contribute to the long-term success of the M25, helping ensure it remains safe, resilient, and in optimal condition.
This role can be based at Dartford, Leatherhead, or South Mimms, with site offices located across the M25 network.
What you'll be doing
- Produce high-quality collateral, reports, and documentation to support reactive maintenance teams.
- Deliver accurate weekly and monthly data reporting to inform operational performance.
- Maintain up-to-date work schedules and issue work instructions to relevant teams.
- Provide holiday and sickness cover to ensure continuity across maintenance operations.
- Carry out general administrative duties and respond to ad hoc requests as required.
- Ensure all routine maintenance information is accurately captured within the maintenance management system, including day and night works, updates, and maintenance records and work instructions.
- Process material and stock orders in collaboration with the Supply Chain Procurement Team, ensuring PPE, tools, and equipment are available when needed.
- Assist in maintaining and updating training records, including identifying training needs and reporting on training performance.
- Take ownership of project governance activities, ensuring compliance with internal processes and standards.
- Produce professional slide packs and supporting materials for Senior Leadership Team (SLT) meetings.
- Support the management team with reporting, documentation, and meeting administration.
- Build and maintain strong working relationships with internal and external
stakeholders.
- Communicate incident reports, lessons learned, and good practice across the business to support continuous improvement.
- Maintain regular engagement with key stakeholders to promote collaboration and operational alignment.
- Support the planning, coordination, and delivery of internal events and activities.
- Provide administrative support for meetings, including preparation of agendas, minutes, and follow-up actions.
- Adhere to the Zero Harm safety process at all times, promoting a safe working environment and ensuring compliance with organisational safety standards.

Who we're looking for
- Strong analytical capability with a consistent focus on accuracy and detail.
- Confident IT proficiency, including advanced use of Excel, PowerPoint, and internal data management systems.
- Clear and effective communication skills, both written and verbal.
- Proven experience delivering high-quality administrative support in a fast-paced environment.
- Highly organised, with the ability to maintain accuracy while managing multiple priorities.
- Self-motivated, proactive, and able to work independently with minimal supervision.
- Skilled at prioritising workload to meet deadlines and support operational demands.
- Collaborative team player who contributes positively to team performance and workplace culture.
- Full UK Driving Licence.
