Full job description

Salary: £25,500–£30,000 per year, depending on experience

Location: Bourne End, Buckinghamshire

Job type: Full-time, permanent

Working hours: Monday to Friday, 9:00am–5:00pm

Working arrangement: Fully office-based

Gray’s Services Group is an established, family-run HVAC business delivering commercial and residential services across London and the wider UK.

We work across a diverse range of projects, including luxury retail environments, hotels, commercial properties and residential installations. As the business continues to grow and expand into new markets, we are looking for an organised and proactive Sales & Operations Coordinator to support our customers, sales processes and day-to-day operations.

This is a varied role suited to someone who communicates confidently, enjoys keeping things organised and is comfortable managing several tasks at once. You will report directly to the Commercial & Operations Director and work closely with him across customer enquiries, scheduling, supplier coordination and operational administration.

Previous experience is beneficial, but we are also open to entry-level candidates who demonstrate strong communication skills, attention to detail and a willingness to learn.

Key responsibilities

* Answering inbound customer telephone calls and responding to enquiries

* Arranging customer surveys and appointments

* Logging and maintaining customer information within the CRM

* Tracking customer enquiries and supporting customers throughout their sales journey

* Following up with customers by email

* Requesting quotations from suppliers

* Placing and monitoring supplier orders

* Producing RAMS documentation

* Preparing permit applications

* Scheduling engineers and subcontractors for jobs

* Scheduling directors for customer surveys

* Coordinating diaries and helping ensure jobs progress smoothly

* Supporting general sales and operational administration

* Occasionally assisting with marketing content, social media and advertising activity

Full training will be provided for areas such as RAMS, permit applications and internal processes.

What we are looking for

* Strong written and verbal communication skills

* A professional and confident telephone manner

* Good organisation and attention to detail

* The ability to prioritise tasks and manage multiple customer journeys

* Strong general computer literacy

* Confidence using Microsoft and Google applications, including Outlook, Word, Excel, Google Drive and Google Workspace

* A proactive, reliable and positive approach

* The ability to work independently and as part of a small team

Experience using a CRM system, and/or Monday.com, would be beneficial but is not essential.

Previous experience in administration, sales support, operations, construction, engineering or HVAC would also be advantageous.
