Job Summary
We are seeking a highly organised and detail-oriented Office Administration Assistant to support our administrative team. The successful candidate will be responsible for managing daily office tasks, maintaining accurate records, and ensuring smooth communication across departments. This role offers an excellent opportunity to develop your administrative skills within a professional environment, contributing to the efficient operation of our organisation.

Responsibilities

Managing incoming calls with professional phone etiquette and directing enquiries appropriately
Organising and maintaining physical and electronic filing systems for easy retrieval of documents
Performing data entry tasks with accuracy using Microsoft Office, Google Workspace, and QuickBooks
Assisting with scheduling appointments, meetings, and coordinating calendars for team members
Preparing correspondence, reports, and other documentation as required
Supporting invoicing, billing, and basic bookkeeping activities using QuickBooks
Handling general administrative duties such as photocopying, scanning, and distributing mail
Ensuring office supplies are stocked and ordering replacements when necessary
Providing support to other departments with ad hoc administrative tasks to ensure operational efficiency

Skills

Proven office experience with strong organisational skills and attention to detail
Proficient in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic data entry techniques
Previous clerical or administrative experience is highly desirable- especially in financial services
Excellent phone etiquette with clear communication skills
Accurate typing skills to facilitate efficient data entry and document preparation
Strong organisational abilities to manage multiple tasks simultaneously in a busy environment
Ability to work independently with minimal supervision while maintaining a professional attitude

Pay: £24,500.00-£27,000.00 per year
