About Us

Disputes Mediation® is one of the leading mediation services in the UK, helping clients resolve disputes through mediation, including family, civil and commercial, workplace, and community disputes.

We are looking for an organised, professional and client-focused Office Administrator / Mediation Administrator to join our team. This is an excellent opportunity for someone who enjoys working in a busy office environment, speaking with clients, managing paperwork and supporting a growing mediation service.

You will be responsible for answering calls, dealing with new enquiries, booking meetings, updating our CRM system, processing mediation paperwork and supporting the day-to-day administration of our mediation services.

Main Duties and Responsibilities

Your duties will include:

Acting as the first point of contact for our clients, professionals and referral enquiries by telephone, email and online platforms.
Taking client details and ensuring enquiries are handled in a professional, supportive and confidential manner.
Providing administrative support to mediators and the wider team.
Creating, updating and maintaining accurate case records on our CRM system.
Booking MIAMs, mediation meetings and other appointments.
Sending appointment confirmations, reminders, forms and other client documentation.
Communicating with clients, solicitors, local authorities and other professionals.
Processing mediation paperwork and ensuring documents are uploaded and stored correctly.
Coordinating online meetings, including Zoom or Teams links and joining instructions.
Preparing and sending invoices and payment reminders where required.
Maintaining confidentiality and handling sensitive personal information in line with GDPR and company policies.
Identifying and escalating safeguarding or welfare concerns in line with company procedures and training.
Carrying out any other reasonable administrative duties required by the business.

Person Specification

We are looking for someone who can demonstrate:

An organised, systematic and accurate approach to work.
Strong administrative skills and attention to detail.
Excellent telephone manner and communication skills.
The ability to work well either alone or as part of a team.
Well-developed interpersonal skills, with the ability to communicate professionally with clients in person, by telephone and by email.
A calm, compassionate and professional approach when dealing with clients who may be experiencing stressful or emotional circumstances.
Good IT skills, including Microsoft Office, email, video conferencing platforms and CRM or case management systems.
The ability to manage and prioritise a varied workload.
A good understanding of confidentiality, data protection and professional boundaries.
Flexibility and willingness to support different areas of the business.

Desirable Experience

The following would be an advantage, although full role-specific training will be provided:

Previous office or administration experience.
Experience gained within the legal, mediation, family support or professional services sector.
Experience using CRM or case management systems.
Experience dealing with sensitive client information.
Knowledge of mediation or Legal Aid processes.
