Equans is looking for a Contract Administrator - HR support to join our team on our Birmingham schools contract at Coleshill, Birmingham, B46 1JU on a permanent basis. This is a part-time position working 20 hours per week, from 10:00 to 14:00, Monday to Friday. On offer is a competitive salary and benefits package. ANNUAL SALARY: £16,640. <h4>General Overview</h4> We are looking for a highly organised and proactive part-time Contract Administrator to join our team. This role is ideal for someone who thrives in a fast paced environment, has strong attention to detail, and enjoys supporting both operational and administrative functions. You will play a key part in ensuring compliance, maintaining accurate records, and supporting the wider team to deliver a high quality service. The role also involves supporting HR colleagues with a variety of contract support tasks, contributing to the efficiency, performance and seamless service delivery across the Birmingham Schools estate. <h4>What will you deliver?</h4> <ul> <li>Organise and coordinate compliance training, ensuring all records are accurate and up to date</li> <li>Liaise with HR and provide administrative support as required, including sickness and annual leave tracking</li> <li>Maintain DBS trackers LOA with internal and external suppliers and issue weekly DBS updates to SPVs and answer any queries that come from that</li> <li>Raise and manage Coupa purchase orders as needed</li> <li>Support management with any ad hoc administrative requirements</li> <li>Organising agency cover for our soft services department </li> <li>Ordering uniform etc </li> <li>Supporting site with disciplinary/note taking </li> <li>Provide administrative support across the employee lifecycle: recruitment, onboarding, training, and offboarding.</li> <li>Prepare new starter packs, issue offer letters, collect right-to-work documents, and complete employee file checks.</li> <li>Maintain and update staff records, training matrices, absence logs, and HR trackers.</li> <li>Assist with arranging training sessions, competency assessments, and mandatory refresher courses.</li> <li>Support payroll administration (e.g., timesheet collation, overtime logs, sickness returns).</li> </ul> <h4>What can we offer you?</h4> On offer is a competitive salary and benefits package, which includes; <ul> <li>24 days annual leave (+ public holidays) pro rata'd</li> <li>Life Cover equivalent to 1 times annual salary</li> <li>Employee discount shopping schemes on major brands and retailers</li> <li>Gym membership discounts </li> <li>Cycle to work scheme </li> <li>Holiday purchase scheme</li> <li>2 corporate social responsibility days per year</li> <li>Broad range of learning opportunities, such as professional qualifications, collective/individual training, and personalized support programmes</li> <li>Attractive Employee Referral Rewards Scheme</li> <li>Access to our growing employee networks including WiE (Women in Equans), RISE (BAME), LGBTQI+, Working Parents, YPN (Young Persons Network) and our Disability Network</li> <li>24/7 Employee Assistance Program and access to mental wellbeing app</li> </ul> <h4>Who are we looking for?</h4> <ul> <li>GCSEs at Grade C or above/equivalent</li> <li>Experience of working within a FM/Technical environment would be an advantage, but not essential.</li> <li>Experience of working in an Education environment would be an advantage, however, is not essential</li> <li>Good interpersonal skills & telephone manner.</li> <li>Word processing, Mail sorting and delivery, Statutory Document collation and distribution, data input and filing both hardcopy and electronically.</li> <li>Being able to work in an efficient and accurate manner, prioritising your workload to ensure that all deadlines are met.</li> <li>Undertake any other relevant duties as required by the contract.</li> <li>Support the Operations team & Senior Managers on individual projects as required.</li> <li>Working within an operational environment, meeting deadlines regularly and maintaining communication with all involved.</li> <li>This role includes a DBS Enhanced check therefore ability to pass is essential.</li> </ul> <h4>Who are we?</h4> Equans is a world leader in energy services with nearly 100,000 employees working in more than 50 countries, with an annual turnover of over 17 billion euros.
