About the Role

MV Commercial is looking for an organised and proactive Sales Administrator to support our busy vehicle sales and finance operations. This role is ideal for someone with strong administration skills, excellent attention to detail, and the confidence to liaise with customers, funders, finance companies and internal departments.

You will play a key role in supporting the vehicle sales process, from invoicing and payment tracking through to taxation, registration, sales reporting and customer communication.

Key Responsibilities

As Sales Administrator, your duties will include:

Processing invoices for vehicle sales, additional works and Road Fund Licence.
Liaising with funders and finance companies regarding invoicing and payment processes.
Obtaining clearance letters, Proof of Title documents and underlying invoices for customer funders.
Arranging taxation and registration of new vehicles once full payment has been received.
Attending sales update meetings to monitor vehicle completion dates and coordinate payment arrangements.
Maintaining and updating sales reports, ensuring all new vehicle orders are accurately recorded.
Processing customer deposit payments securely through the company’s online payment portal.
Updating internal systems, including Insphire and Auriga, to reflect payments and contract completions.
Liaising with MV Asset Finance regarding vehicle completion schedules and finance arrangements.
Obtaining part-exchange invoices from customers and maintaining accurate records.
Carrying out vehicle HPI checks to verify vehicle history and status.
Monitoring daily bank updates and reconciling payments.
Chasing outstanding payments from customers and finance providers.
Handling incoming telephone enquiries and directing sales leads to the correct salesperson.
Preparing monthly credit card receipt reports for the accounts department.
Managing email correspondence professionally and efficiently.
Updating pricing and records in line with approved change requests.
Ordering and managing office supplies, equipment, stationery and refreshments.
Arranging urgent vehicle taxation at the Post Office when online processing is unavailable.

About You

The ideal candidate will be highly organised, reliable and confident working in a fast-paced sales administration environment. You should be comfortable handling multiple tasks, working with financial documents and communicating with both internal teams and external contacts.

Skills and Experience

Previous administration experience, ideally within vehicle sales, asset finance, transport, commercial vehicles or a similar sector.
Strong attention to detail and accuracy.
Confident telephone manner and professional written communication skills.
Ability to manage multiple tasks and deadlines.
Comfortable using internal systems and Microsoft Office.
Experience with invoicing, payments, finance companies or vehicle registration processes would be advantageous.
A proactive approach and willingness to support different areas of the business.
