Job Overview

We are seeking a reliable, highly organised and detail-oriented Administrative Assistant to support our office operations. This role involves managing a variety of clerical and administrative tasks to ensure the smooth functioning of daily activities. The successful candidate will possess strong communication skills, proficiency in office software, and the ability to prioritise tasks effectively. This paid position offers an excellent opportunity to develop your administrative skills within a professional environment.

Duties

Answering incoming telephone calls, dealing with any queries, determining customer requirements and directing the call where appropriate in a professional manner
Managing incoming and outgoing correspondence, including emails and postal mail
Organising and maintaining electronic and physical filing systems
Manage and maintain approved supplier database
Record operative HAV exposure from information submitted on timesheets
Complete all GRN's, scan and and save tickets to electronic filing system
Provide general administration support including scanning, photocopying, production of letters, presentations and documents
Assist with carbon and social reporting
Provide holiday cover across the office
Assist the business to achieve and maintain ISO9001, 45001 and NHSS:16 certification

Skills

Proven office experience or administrative experience demonstrating organisational ability
Excellent computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint)
Familiarity with LiveCosts, Xero or similar accounting software is desirable
Effective data entry skills ensuring accuracy and confidentiality of information
Outstanding organisational skills with the ability to manage multiple priorities simultaneously
Good phone etiquette coupled with clear verbal communication skills
Ability to work independently as well as part of a team in a fast-paced environment

This position is ideal for candidates who are proactive, reliable, and eager to contribute to a professional setting. Applicants should demonstrate a strong work ethic and a keen eye for detail to succeed in this role.

Job Type: Working Hours will be Monday - Friday 8.30am to 5.00pm
