Full job description

Role Overview

As Projects Coordinator, you will coordinate the planning and delivery of multiple projects, working closely with Project Managers and other internal teams, suppliers and contractors to ensure resources, procurement, logistics, documentation and Health & Safety requirements are effectively managed to support successful project delivery.

Key Responsibilities

Scheduling & Resource Management

- Schedule and track jobs, including staff bookings, workshop space, ordering, time management and costing.

- Arrange and track transport and crew bookings alongside job schedules.

Ordering of Materials / Procurement

- Research suppliers, order and track materials, and maintain the company stock catalogue, pricing, stockists and supplier relationships.

- Raise and allocate POs to relevant jobs and liaise with the finance department regarding discrepancies.

- Negotiate supplier costs and proactively source competitive pricing to ensure best value.

Health, Safety & Facilities

- Maintain the workshop Risk Assessment.

- Write Risk Assessments and Method Statements for jobs as required

- Assist with workshop Health and Safety requirements, including PPE reviews and compliance with current policies.

- Enrol staff on relevant training courses

- Support day-to-day building facilities requirements.

Cost Tracking & Reporting

- Assign products and materials to jobs for costing purposes in accordance with material requisition forms.

- Manage the timesheet process, including collating, inputting and processing timesheet data for job tracking and payroll.

- Track spend against internal, non-project-related budgets.

- Manage stock levels, liaise with Heads of Department, allocate materials to relevant jobs and coordinate quarterly stock takes.

- Log petty cash, site-related expenses, per diems and receipts.

Preparation & Logistics

- Prepare site folders, including relevant Health and Safety paperwork, drawings, schedules and contact information.

- Organise staff and contractor travel and accommodation, including relevant travel information and itineraries.

General Administration

- Manage office supplies and maintain an organised working environment.

- Provide ad hoc support to the wider team.

Required Experience

- Previous experience in a Project Coordinator, Project Administrator, Operations Coordinator or similar role.

- Experience coordinating multiple projects, tasks and deadlines simultaneously.

- Strong administrative and organisational skills with excellent attention to detail.

- Experience scheduling resources, labour, logistics or project activities.

- Experience raising purchase orders, managing suppliers or procurement processes.

- Experience maintaining project documentation and accurate records.

- Confident using Microsoft Office, particularly Excel, Outlook and Word.

- Strong communication skills with the ability to liaise confidently with internal teams, suppliers and contractors.

- Ability to prioritise workload and work effectively in a fast-paced environment.
