Overview

We are seeking a proactive and highly organized Personal Assistant to support executive leadership in managing daily operations and administrative tasks. This dynamic role offers an exciting opportunity to contribute to a fast-paced environment where efficiency, attention to detail, and excellent communication skills are essential. The ideal candidate will be energized by multitasking, possess strong organizational abilities, and demonstrate a passion for providing exceptional support to ensure smooth business functions.

Responsibilities

Manage calendars, schedule appointments, and coordinate meetings with precision and professionalism
Handle incoming calls with courteous phone etiquette, directing inquiries appropriately and taking detailed messages when necessary
Prepare and organize documents using Microsoft Office and Google Workspace tools, ensuring accuracy and timely delivery
Perform data entry tasks accurately within systems such as Xero or other relevant platforms, maintaining up-to-date records
Assist with travel arrangements, including booking accommodations and transportation logistics
Support general administrative duties such as filing, photocopying, and maintaining office supplies inventory
Facilitate effective communication across departments by drafting emails, memos, and reports with clarity and professionalism

Qualifications

Proven administrative experience with a strong background in office management or support roles
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
Experience with Xero or similar accounting software is highly desirable
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Strong data entry skills with high accuracy and attention to detail
Demonstrated ability to handle multiple responsibilities simultaneously while maintaining professionalism
Exceptional phone etiquette and communication skills
Typing speed of at least 60 words per minute is preferred
