About Us

West Sussex County Council is a diverse organisation that provides services to more than 850,000 residents. The specialist 24-hour AMHP (Approved Mental Health Professional) Hub service providing the support for the Approved Mental Health Professionals and other colleagues in the mental health service who support people experiencing an acute mental health crisis. The team is made up of specialist workers who are trained to undertake mental health act assessments and consider whether they may need a psychiatric inpatient admission to hospital.

We are looking for a self-motivated, and organised Mental Health Service & Hub Administrator to join our friendly and supportive AMHP Hub Team. As the initial point of contact for the service, you will be skilled in gathering and recording information to ensure the AMHP lead can triage referrals appropriately. There are 16 members of the AMHP Hub Team who work together as the ‘front door’ first point of contact for enquiries and all referrals into the service.

Good communications skills are essential for this role as you be in contact with the people from all types of backgrounds who access or need the service. To succeed in this role you need to be confident in using IT packages, especially Microsoft Excel, Word and Outlook, and confident in using databases.

As an administrator in the Hub your role will be primarily focusing on maintaining data and spreadsheets and organising to support the service. You will be responsible for coordinating the continued professional development training programme (CPD) for the AMHP service.

This is a role where you'll have the chance to really exercise your strength in administration supporting the service lead with tasks such as correspondence via email and letters, updating and maintaining databases (Mosaic), inputting and updating spreadsheets.

Experience and Skills

The following key skills and qualification/experience points are the short listing criteria so please detail how you meet each point in your application:

Key Skills:
1. Demonstrable understanding of data management, collection and processing, with accurate data entry skills.
2. Ability to communicate effectively with a diverse range of people, both verbally and in writing
3. Ability to work on own initiative and effectively as part of a team.
4. Exceptional organisational and time management skills to plan, prioritise and multi-task, managing competing and complex requests for information
5. Demonstrable analytical and problem solving skills to analyse information, draw practical conclusions and implement appropriate actions within a framework of relevant policies and procedures.
6. Proficient in the use of Microsoft Outlook, Word, Excel and PowerPoint.

Qualifications and/or experience:

NVQ 3 in Business Administration; or equivalent administrative experience.
GCSEs or equivalent qualifications in English Language (A-C grade) and Mathematics (A-C Grade) or equivalent experience
Demonstrable experience of working in a demanding administrative role dealing with a diverse range of callers including members of the public.
Proven experience of managing and processing invoices and maintaining accurate financial data spreadsheets to support payments by account process.
Working knowledge of the Mental Health Act statutory timescales, policies and procedures associated with operating the administration required for an efficient service. (Desirable)
Proven experience of working with office systems and procedures, including organising and arranging meetings, co-ordinating calendars, booking meeting rooms and sending out papers and agendas.
Awareness of Data Protection and confidentiality requirements.
