Administration & Report Production Assistant

Pay: £14.00 per hour Location: Home-based / remote (UK) Hours: 16 hours per week, part-time (employed, PAYE) — worked flexibly by agreement

About the role

Revenge Kleaning Services Ltd is looking for an organised, reliable and highly accurate Administration & Report Production Assistant to support our growing business.

This is a varied administration role with a key responsibility for helping produce our professional damp and mould inspection reports.

We have developed a structured reporting system using Microsoft Word, ChatGPT and Claude. The technical findings, diagnoses and recommendations come from our surveyor and controlled reporting process. Your role is to take that completed technical content and turn it into an accurate, professionally presented final report.

You do not need to be a damp and mould expert.

Alongside report production, you will provide wider administrative support to the business, including document and job management and invoicing support.

This is a home-based role. Full training and induction will be provided remotely, with occasional visits to our Wigan base by arrangement.

Key responsibilities

Report production

Produce professional reports using established Microsoft Word templates.
Transfer technically completed report content accurately into the correct sections.
Use ChatGPT and Claude as part of our established report-production and quality-assurance workflow.
Insert, organise, resize and position property photographs.
Maintain the correct fonts, colours, tables, headings and document structure.
Proofread reports for spelling, punctuation, formatting and obvious errors.
Complete report-production checks before reports proceed to final technical QA.
Identify missing, inconsistent or unclear information and refer it for clarification rather than guessing.
Organise report files, photographs and supporting documentation.

You will not be expected to independently diagnose damp and mould problems or write technical recommendations. Final technical responsibility remains with the surveyor.

Administration

Maintain organised electronic job and client records.
Manage and file documents, photographs, emails and other job information.
Assist with general office administration.
Help maintain accurate records across ongoing and completed jobs.
Support the team with other administrative tasks as required.

Invoicing support

Prepare and process invoices for completed works where costs have already been quoted, pre-approved or confirmed.
Check job information against the approved or confirmed costs before invoicing.
Maintain accurate records of invoices processed.
Refer pricing queries, variations or anything outside the agreed amount for approval rather than making pricing decisions independently.

Certain client accounts, applications and private-client invoicing will continue to be monitored and approved separately by management.

What we're looking for

The most important qualities for this role are organisation, accuracy and attention to detail.

You should be:

Highly organised and methodical.
Confident using Microsoft Word, including formatting and working with templates.
Comfortable using computers, cloud-based systems and digital files.
Confident using, or willing to learn, AI tools such as ChatGPT and Claude.
Good at proofreading and spotting errors or inconsistencies.
Comfortable working with photographs and document management.
Able to follow an established process accurately.
Able to manage several administrative tasks and priorities.
Comfortable working independently once trained.
Sensible enough to ask when something does not look right rather than making assumptions.
Reliable and able to take ownership of your workload.

Good written English is important.

Previous experience in administration, document production, invoicing, property services, surveying support or a similar office-based role would be advantageous. Previous damp and mould experience is not required.

How we work

Our reports follow an established process designed to protect the accuracy of the technical information while allowing reports to be produced efficiently and consistently.

You will receive clear training, templates, checklists and instructions showing how the process works.

The process may initially appear quite controlled. This is intentional, because technical information must not be accidentally changed during report production.

That does not mean we don't want someone who thinks for themselves. If something appears wrong, inefficient or unclear, we want you to raise it. We are always interested in sensible improvements to the way we work.

Our basic principle is: Follow the process. Pay attention to detail. If something doesn't look right, ask rather than guess.

Using AI

AI is already part of our day-to-day reporting process. We currently use ChatGPT and Claude alongside our own controlled reporting procedures. You will be trained in how these tools are used within the business.

You do not need to be an AI expert, but you should be comfortable with technology and interested in using AI effectively as part of an administrative role. Experience using ChatGPT, Claude or similar AI tools would be an advantage.
