JOB TITLE: HR Administrator
Join Tatry Group, a growing contract cleaning and security business that is building the team and systems to match its ambitions.We are looking for an organised and reliable HR Administrator to join our team as teh heart of our people function. A large part of this role is recruitment, finding, screening, and onboarding the right people for a large workforce of mostly part-time employees. Alongside recruitment, you will ensure our HR processes are followed accurately and consistently, keep our records compliant and accurate, and make sure our people are properly supported from their first day to their last.
You will work closely with the Managing Director, Operations Team, our Business Coordinator, and our outsourced HR advisors. You will be someone who follows the process carefully, takes pride in accuracy, and gets things done reliably every day.
Your job is to follow them consistently, keep everything up to date, and promptly escalate anything outside them. You will be supported by our outsourced HR advisors on complex cases. If you are organised, dependable, and want a role where your contribution is visible, this could be the right fit.
SALARY: £28,000 per annum, plus performance bonuses
HOURS: Full-time, 37.5 hours per week, Flexible start and finish times.
LOCATION: Milton Keynes, office-based, Monday to Friday, with occasional travel to customer sites
REPORTING TO: Managing Director
KEY RESPONSIBILITIES:
Recruitment
- Post job adverts following our templates and process
- Sift applications and arrange phone screens and interviews
- Manage our recruitment inbox and keep candidates updated throughout the process
- Coordinate interview schedules with the relevant managers
- Process offers and chase references following our checklist
- Liaise with operations to understand current and upcoming staffing needs
Onboarding, Offboarding and TUPE
- Issue contracts and all new starter documentation using our templates
- Conduct right-to-work checks — verifying documents, recording and maintaining compliance
- Set up new starters on our systems and ensure they are ready for day one
- Process leavers — resignation acknowledgements, exit admin, and final pay coordination
- Coordinate TUPE transfers following our process with support from our outsourced HR advisors where needed
HR Administration and Compliance
- Maintain accurate and compliant employee records for our large workforce
- Track absence data and flag trigger points to managers following our absence policy
- Conduct return-to-work interviews following our process
- Monitor and approve holiday requests following our policy
- Issue contract variations, policy updates, and letters using our templates
- Keep our employee records, handbook, and HR policies up to date
- Liaise with our outsourced HR advisors for complex cases and legal guidance
- Flag any legislative changes to the Managing Director for guidance on next steps
HR Cases
- Assist managers through disciplinary and grievance processes, following our documented process and templates
- Attend HR meetings alongside managers and take notes as required
- Escalate complex cases to our outsourced HR advisors, Operations Manager or the Managing Director for guidance on next steps
- Maintain accurate records of all HR cases
- Assist with site closures or redundancies when needed
- Visit the customer sites with managers when necessary
Employee Relations
- First line contact for pay queries and HR inbox enquiries — resolving routine queries or escalating as appropriate
- Provide support to employees and handle their queries effectively
- Send ad hoc communications and a monthly newsletter to the workforce as required
- Signpost employees to appropriate support when needed
- Assist with approving holiday requests as needed
Assist with other administrative tasks across functions as needed.
EXPERIENCE AND EXPERTISE
- Highly organised with strong attention to detail — you follow the process carefully and accurately
- Reliable and consistent — people can count on you to get things done
- Comfortable managing a busy inbox and multiple tasks simultaneously
- Clear communicator — written and verbal, professional and direct
- Discreet — you handle sensitive employee information with complete confidentiality
- Proficient in Google Workspace or Microsoft and able to learn new tools quickly
- At least 3 years of experience in an HR administrator, HR assistant, or HR coordinator role
- Hands-on recruitment experience — posting adverts, sifting CVs, and arranging interviews independently
- Experience conducting right-to-work checks
- Working knowledge of UK employment law — particularly right to work, absence management, and basic disciplinary process
DESIRABLE
- Experience managing high-volume recruitment
- Experience in a high turnover environment — cleaning, hospitality, retail, logistics, or care
- Experience in a service business, facilities management, or similar operational environment
- Experience working in a small to medium-sized business
- Understanding of TUPE regulations
- CIPD Level 3 or equivalent — desirable but not essential
WORKING HOURS AND AVAILABILITY
- Full-time, 37.5 hours per week, Monday to Friday
- Flexible start and finish times — we just ask that hours are consistent day to day
- Fully office-based in Milton Keynes, a daily presence is required
